Merging an old file
Posted: 25 Jul 2005 01:49 PM
How can I merge/combine two files for the same staff member (one was misspelled)? As of right now when I try, it tells me that one is a directory entry (or something to that effect) and the other says it is being referenced by pregnancy test forms. Thanks! Shannon

Hi Shannon,

You need to remove all the forms that are associated to the Staff/Volunteer you wish to delete. To do this,

1) Write down the staff/vol's file id you wish to delete.
2) run the Activity Statistics.
3) In the report options, set Column1 to Staff/Volunteer, and Column2 to Activity Type. This will display all the forms associated to your staff.
4) In the report results, find the staff/vol you wish to delete (the file id is included in the staff/vol's name)
5) drill down on all the forms to view the clients. open each client file and remove the duplicate staff/vol from the Staff/Volunteer field under the Office Use Only section of each form.
6) Repeat set 4 for each type of form.

You should now be able to delete the duplicate staff/volunteer.
