Files with no cases

| Is there a way to find all the client files that have no cases attached? I'd like to delete client files that never showed up for their appointment, but I haven't found a way to search for those. |

Hi BekahNPRC. Thank you for reaching out to us. We do not have a report that pulls client files with no cases assigned to their file. But you can run an Appointment Statistics report by Status and drill down on the Not Checked In, No Shows and Cancels to view the client files. I would then sort by the File Id to group all the same file IDs together. Then you will need to drill down on each one to see if they have a case. This is the only way I can think of for you to identify clients that did not show for their appointments and be able to view if they have any cases assigned to their file. To run this report you will need to take the following steps. Go to Client>Statistics>Appointment Statistics and run report>Select your time criteria>Choose Demographic - "Status">Run Report. | Thank you, Maggie. From a HIPAA standpoint, or otherwise, is it recommended to keep patient files that have been created, even if there is no case attached? I was thinking from a storage standpoint that I might delete our files for people who scheduled but never actually came in and became patients. |

Hi BekahNPRC. From a HIPAA standpoint, a client's or potential client's contact information is not PHI unless:
Names, addresses and phone numbers are NOT considered PHI, unless that information is listed with a medical condition, health care provision, payment data or something that states that they were seen at a particular clinic.
I think you are fine to delete the client files with no cases so long as there are no notes or any information considered as PHI in the client file. |
