Processing credit card refunds through the online giving connector
Posted: 08 May 2020 01:12 PM
Hi y'all! Happy Friday!

I had a donor who was giving monthly through Stewardship Technology. She forgot and started sending checks also. Her last electronic gift was on March 10. I realized she had exceeded her pledge with that gift so I called her and asked her if she would like a refund and she said yes. I refunded her through Stewardship Technology on 4/1/20. It shows as a refund on the Stewardship website. But it didn't come down as a refund through the online giving connector. I don't know how to reflect a refund in ekyros so that it doesn't show that 3/10 gift in her donor record.

Ideas?

Hi jvanture! Yes, Happy Friday! :)

You are correct, Stewardship Technology doesn't send us the Refunds (into the Refund tab of the Online Giving Connector) like some of the other payment processors provide.

It is convenient to be able to reconcile the refunds while still in the Register by seeing if the gift had been posted to the file and then having the ability to "reconcile" which deletes it from the Donor file while you are able to keep working in the Register. However, some centers like to keep a history and manually reconcile it themselves in the Donor file and bypass this functionality.

So, you have two choices on how you would fix this in your Donor file. 1. Simply Delete the original gift (which is what the online giving connector does but it retains a history of the refund within Online Giving. Or, 2. From within the Donor's file "edit" the original 3/10/20 electronic gift by removing the $0 amount and tax deductible $0 amount (leaving the 3/10 gift date, online payment method, etc.) then on the comment line note: $XX (what the amt. was) was refunded on 4/1/20. This is what I recommend. Centers often do the same thing with returned checks to keep the history.

Hope this helps! Please feel free to call if you want to talk through this at all. Thanks and Stay Well!
