Several people entered volunteer data and now we have multiples of the same person, how can we delete one of the names when they have been used in client files? |

Hi Elizabeth,
You will need to remove the duplcate Staff/Volunteer from all the forms before you can delete it.
The best way to do this, is to:
1) run the Client Activity statistics
2) Select the Staff/Volunteer measure for column number 1
3) Select the Activity Type measure for column number 2.
4) Click run report.
5) In the report results, you will then see all the forms associated to the duplicate Staff/Volunteer that you wish to delete.
6) Click on the Total for each month/qtr and you will see all the client files the forms are associated to.
7) Finaly, click on each client file to open the activity list. There you will need to edit each form and remove the Staff/Volunteer from the form. (the activity list also displays the Staff/Volunteer associated to the each form.)
This is a little bit of work, but drilling down on the Client Activity stats are the best way to handle this. Hope that helps. |

Hi Brian,
I printed out copies of the summary of the 3 duplicate volunteers.
I removed the volunteer names from all client files and knew this would be updated overnight. Today I drilled down and have clients that were not on the volunteer's summary yesterday. I also have a group of clients with an "Unknown" volunteer. I thought when I clicked on the total, all client files for that particular volunteer would be seen.
Am I overlooking a step?

Did anybody enter any forms yesterday that used the duplicate volunteers name in the "Staff/Volunteer" field on the form? If they did, this may be why the addtional ones showed up. Also, forms that do not specify a "Staff/Volunteer" will show up as "Unknown". So that's okay.
I think you're on the right track though. just be sure to use the drill down in the stats. that will show you all the clients that are associated to each staff/volunteer. |
