Mobile Intake on Site
Posted: 15 Jul 2019 07:31 PM
I am trying to figure out the mobile intake and have watched the videos. I see how we can send the forms to them to fill out and submit back. We do not subscribe to the SMS text reminders at this point. For the client to enter the intake forms using our tablet in the waiting area, it looks like we will need to fill out the request, but then scan the qr code with our tablet to open the forms for them to fill out. Is this correct? Any issues with doing it this way?

Kiosk mode requires an additional level of security on the tablet (since it's shared). You should *not* use qr code. Please see the "About Mobile Intake Application" in the online help for details using kiosk mode. Hope that helps!

Hello Angie,
Yes, to add to what Brian stated you do not want to use a QR Code so you are able to stay in Kiosk mode protecting your device and its data. You would be able to, however, provide them the Access Code on a sticky note for example and they would enter that into the Mobile Intake App while in Kiosk mode. Please check out the help documentation in the User Guide, under Office, Scheduler, Mobile Intake to learn more about Kiosk Mode or call your Account Manager to help you further.

Have a GREAT evening!

Hi Angie,

As a popular alternative, without a ReminderCall account you can let clients know when they arrive that you have the ability for them to check-in and complete their paperwork from "their own mobile device" (even your walk-ins). Just queue (attach) the needed forms to the client’s appointment form (scheduled or walk-in) and make sure it includes their birthdate. Ask them to hand you their smart phone with the camera open and let them know you are just pointing it at a QR code that contains their intake paperwork so it will load and open in an APP for them to effortlessly complete. Just point it at the code and click the button that drops down from the top which is their camera asking if you want to open the eKyros app. It will still require them to complete the two steps to validate themselves (bdate/last name). Test amongst yourselves to see how it works. When it is the client's own device it is absolutely fine to use the QR code reader (or for testing amongst yourself).

However, as mentioned by my other team members you can run the app on a center supplied tablet in the recommended "kiosk mode". But I wanted to make sure you were aware this would be if they do NOT have their own device (smart phone). As mentioned, you need to be sure to follow all the recommended security steps to make the device secure and run the app in kiosk mode. But, having the client’s complete the intake on their own device is the most secure method and the most effortless user experience for your clients.

Hope this helps!

Thank you for the clarification as we are trying to incorporate this at our center. I would like to give them our tablet since it would be a larger device for reading and i think it would feel more professional than asking them for their phone. I will read more about the kiosk mode and security with our device. Thanks so much! You guys are always so quick to respond and through with your answers to our questions. Looking forward to using the mobile check in to save time for our volunteers with data entry.

Thanks to the user guide, I was able to figure out how to download the Kiosk Mode app as well as set the mobile intake app and use it in the kiosk mode.

I have had some issues with the access codes not wanting to work (it is most likely user error). It would be nice if there was a way to use the qr code on the mobile intake since it is easier to use and you can avoid most user error issues.. LOL.

Is there a limit on the number of times you can enter the code or is it invalid once the forms have been completed and returned? I tried to copy and paste one of the codes to make sure I did not enter it correctly and it would not work, but it was one that we had used already. When I copy and paste a new one it works.

Either way, it would be nice if there was a way to have "scan qr code" as an option in the mobile intake app. I know you guys have been working hard to get this update ready and out and then work out the kinks... so this is just a suggestion.

I think this is going to be great when we all get it figured out. Thanks for all the work that you do to make our job easier!!
