Thank you so much for always being so open to suggestions and updates! We love being able to voice our opinion on the way the system works for us :)
We are working our way to being 100% digital (slowly.. very slowly!), but have noticed a few things that would really help us:
1) Audit log for appointments: the audit log for the client files has been extremely valuable to us and we've come to rely heavily on the ability to track, "undo" and update our files. However, it has become a real problem that we don't have that capability available in our appointments also. Could this be added? The best way for us would be in the "properties" tab which we use, but because it doesn't show a log of the events, we can only see the last person who edited it :(
2) We have been increasing our men's ministry and have started creating client files for men. One of the challenges though is that there is no way to show his "due date" so to speak without adding a pregnancy test. We don't want to skew our data by added pregnancy tests that weren't actually run, so do you have any suggestions on how to do this?
3) We have also started to utilize the staff module to track our volunteer hours and their contact information. However, when I select "activity" for the file, it only shows hours worked. Would it be possible to cross reference the client module in order to get a run down of how many forms the staff/volunteer has completed? I would so love to be able to show a volunteer their information quickly - you've worked XX hours this month and saw YY number of clients! I know i can do this through some other reports in the client module, but i really would prefer to just see it here.

Nice to hear from you! We greatly appreciate you taking the time to share some of your suggestions. We too are busy working away on enhancements to help make your "paperless" office goals easier. :)
1. "Auditable events" as determined by the HHS are those pertaining to the Client's actual file/chart. However, I love that you are making use of the "properties" tab within an appointment and I will share your comments with our development team and see if there is a possibility of adding additional information here. I would also suggest reaching out to your account manager and explain some of the scenarios that you are running into to help support your request.
2. Wonderful to hear about the growth of your Men's Ministry! You are correct that you would never want to add a pregnancy test form for your male client's. Their cases would be considered support cases. Currently you can use the relationship tab to associate the baby's father as well as list him on the case intake. Perhaps when the relationship category of "baby's father" is selected we can add the ability to select and tie in the associated Pregnancy test case as well so this information could possibly be pulled into the case status report? I will look into this. In the meantime, your account manager could give you a couple ideas of ways to help you record this information for now.
3. Interesting suggestion. We do have future plans to enhance the Staff Management module but I am not certain if it will include any reporting of client service activities. The Client Statitistics can all be run by the demographic of Staff/Volunteer, including Client Activity Statistics. One of the awesome things about statistics that makes them so powerful is that you can apply multiple demographics so you can see for example: Activity Stats by Staff/Volunteer and then apply a second demographic such as "Activity type". Or, Appointment Stats and apply>by Staff/Volunteer then "appointment category" and also pull in "status". We certainly can however submit this for consideration to our development team.

I would like to weigh in on abuckner's suggestions! I think that the top two suggestions are great ideas. We started having a problem with persons that were making appointments, somebody else looks at it, closes it and then we can't track who ever made the original appointment. we even started putting in comments who made appointment, so we can track issues.
For our program people, it would be nice to enter thier due date for tracking purposes. Sometimes, they have not had a pregnancy test with us.

Hi joneski,
All Client's who are actual pregnancy cases and thus "do have an actual due date" that needs to be tracked in the system for follow up is entered into the system by using the Pregnancy Test form. Regardless of how late in the pregnancy, if you are providing support services during this time you can enter a "POP" (Proof of Pregnancy) positive test form which indicates that "this test was not administered here at the center" but allows their due date to pull into reporting such as the Case Status Report.
