Deleting staff volunteers

Our center has grown and volunteers come and go. We were doing maintenance on our volunteer list and found we were prohibited from deleting invalid/inactive volunteer records with a message "Cannot delete record. The file has follow-up tasks assigned. You must remove or re-assign all follow-up first."
I did a followup report for the selected volunteer to see if there were any incomplete followups, ie., that needed work to be complete. There were none. All followups were in the complete category.
So, I took a large step and reassigned 'all' followups for that volunteer. Now, I was able to delete the selected volunteer record. I had several volunteers to process and one volunteer had over 70 followup records that went back over 4 years which all had to be reassigned before I could delete the record. That was a lot of work.
I think I understand the function of a followup. If clarification is needed, please provide.
What defines a "follow-up task"? I would think that it would be an active function/identifiable area of work.

Hi Keithf,

To get your staff/volunteer list down to just current staff, it is advised to just set the volunteers staff record to 'inactive' status and this will remove them from the staff/Volunteer list that populates whenever a service form is being added. We don't recommend deleting a volunteer or staff record. Any services that they performed with a client would then show 'unknown' as to who worked with them along with their entire electronic volunteer record.

Yes, by design if one volunteer was assigned some follow up tasks with a Client and they have not marked this task as 'complete' and an administrator on the account determines that they wish to delete this volunteer's record it requires you to reassign the task first so this task won't delete with it and result in the follow up getting lost.
