Hello all!

I am wondering if there is an easy way to help with this problem (and its not really a problem). Our maternity home is in North Dakota. We have quite a few "snowbirds" on our donor database. In the winter they go south for the winter. We don't always get their second home addresses, so we put them on hold mail. Is there any easy way to "batch" hold mail a specific group? I know the answer is probably no. It would be great to be able to toggle a certain group on or off.

Hi Susan,
It's great to hear from you! Yes, absolutely, you can always filter out those who have "Hold Mail" checked on their file. The best way to think of "Hold Mail" checkbox is checked=YES hold mail and unchecked=No don't hold mail. Whenever you run a report you would use the filter "Hold Mail: No" and this will automatically filter out any records that have hold mail checked (equaling yes) on their file.

For example you can run the batch receipts report, select Hold mail: No and it will filter out anyone who has that box checked on their record. Donor Files Report, select "Hold Mail: No" and again it will filter out anyone who has that box checked. This filter is available on most Donor Reports.

I am probly not explaining myself very well. I am familiar with the basic hold mail options. I think I am trying to ask if there is any way to single out a specific group within the hold mail group. Our hold mail group is very broad containing churches, companies, church groups, etc. I suppose I could keyword it somewhere so I could run the hold mail report and see a keyword indicating that that person is a "snowbird". Does this make sense?

Ohhhhh!! I am sorry for the misunderstanding. You could utilize "Category" on the general file. I always encourage centers to have 4 basic categories 1- Business, 2- Church, 3- Individual, and 4- Mailing/Newsletter. You could add a 5th- Snowbirds. This would allow you to pull only that group out of the system to look at them specifically. To assign categories open a donor file, along the left hand side click "Edit File" and scroll to the bottom right "Category" Please feel free to contact me to discuss this further if you'd like.
