physician sign-off on scans

We have recently had a change in medical directors, and are now using the option of having her review and sign scans in ekyros. It took a very long time for her to finally sign off on the forms. Our director is the one who taught her how to login, view, sign. Today I was so excited to see that she had signed all of the forms, but encountered a problem! I found that I cannot go back and change the "inconclusive" to "conclusive" nor add the EDC per sonogram. In the past when the medical director would sign the printed report, I would then go back and enter the scan as conclusive and enter the EDC. Otherwise, ekyros would not allow me to enter one without the other and it cannot be conclusive until the doc signs off confirming the pregnancy. So all of this to ask if there is any way that I can now edit the information? I understand it is set up so that no one can change what the MD has entered. So, should she be entering this information when she signs? I can see this as a potential big problem for me. What can I do now about the ones she signed off on last night?

Hi Marylou,
It's great to hear from you! I've not actually heard of another center with this type of process, of the centers I have discussed their process with, they enter all data (completed form) and the medical director/physician then reviews all details and signs off on the completed scan.

With that said as of today once a sonogram has been electronically signed you cannot alter/delete to protect the integrity of what the medical person signed. This prevents you from going back and being able to change data that would possibly alter their comments/feedback on the scan. Per my Director of Sales & Services, Kristen Paul, we are looking at providing a "Void" option on signed sonograms. Once it has been voided it will move it to a "void" queue in a sense and you could then repeat the process correctly. Likewise, it would mark this original one as void in the file. But no history ever gets erased or deleted.

Hi Marylou,

Excited to hear that you are starting using the remote physician sign off, it is a wonderful tool!

Please feel free to give me a call as I would love to talk through all of this with you. Clinic nurses are completing the sonogram forms in their entirety, including their nurses notes, and attaching scans. The physician is just meant to review and electronically sign off if all data is correct and complete, or follow up with the nurse/sonographer if they have questions or concerns and are not able to sign at this point.

There are a couple of proposed changes that we anticipate coming down the road (still under final consideration). 1. is that centers will have the ability to mark a signed off ultrasound report as 'Void' this will then prompt them to enter a Reason for void. Once they do and click save it will void this signed form and move it into a 'voided forms tab' within the physician queue. 2. Also under consideration, is the ability to add an addendum to a signed form noting an addition, or correction, etc.
