Waiting List clients

In order to add a new client to a waiting list, it looks like you have to add them as a client in the system. What happens if we get a call in client signing up for a class who then does not show up? We would have a lot of incomplete files with just names. How would you handle those? Delete them out?

Hi SandyM,

In my experience most centers do not add non-clients to a waiting list. They are almost always an existing client, which is how they heard about the class. However if you don't want to add each person as a client you could create a dummy client record "Class Waiting List" and add a note with a running list of non clients and their contact number, then add that file to the waiting list so you would know to reference both area's--that would be my suggestion for the time being.

How often would you say a non-client signs up to be on a waiting list for a class? I am trying to determine the frequency of this type of situation. Thank you!

We offer CPR, Anger Mgmt, Financial classes, etc where we advertise to the public. We get several people call who are not clients. Currently, I enter one appointment "CPR Class" for the date and time, and then enter interested names and numbers in the comment section. I was just watching the Group Class video on the waiting list. I thought I might start entering them that way, but I don't want to end up with a lot of incomplete files with no paperwork charts. Sounds like the way I am currently handling group class interests is probably the best.
