eKYROS TESTIMONIES

Hi everyone!

I'm hoping to get a thread going on the personal testimonies of those who are successfully implementing eKYROS. I would really like to hear about the successes and also any obstacles you've experienced. I'm trying to get individuals at my center on board with the program so I would really like your help!

We are a three-site clinic, so the testimonies from clinics that also have sister sites would be greatly appreciated! Thank you!

Thanks for utilizing our forums. Hopefully our other customers can share some of their experience with you. I come from a center where we changed over from another software and began using eKYROS about 5 years ago, and we found it to be really easy to implement. Blessings in your journey,

How did you go about training your employees when you began implementing eKYROS?
What were the highs and lows you experienced during implementation?

Hi marye1028,

At the time eKYROS didn't have training videos, so we did an initial training with our eKYROS Account Manager based on a train the trainer model (one person was trained directly by eKYROS and that person trained the rest of the staff at our centers). We found it to be very user friendly once we were trained.

I think the highs and lows came from a similar place: change.SmileyFor us, the benefit outweighed the time it took to learn a new system. We had features that worked better than our previous software and when the data entry was done correctly, all our reports and stats were accurate. That was new to us!

At my center when we switched we walked through training with our Account Manager and then I read, re-read, and read the user manual again (before the time of videosSmiley) I then printed off the Office Forms and created 5 "mock" client files all different scenarios (negative test, positive test- Abortion Vulnerable, EWYL visit, material assistance appt, and then positive test- Abortion Minded) and differing responses to the questions. I provided these "mock" clients to the data entry personnel and had them practice data entry (with all 5). Once they completed the entry I reviewed and we talked through any areas that needed addressed or re-trained. We then began data entry and I would have them put a "check" mark on each intake with the date and their initials and weekly I would randomly pick 1-2 files and review to ensure consistency and accuracy until we got it down.

The lows we experienced were all regarding the learning curve and implementing the new Office Forms. There was some push back from some of our volunteers on certain questions or understanding assessing clients, but that was more specific to being thorough and actually going back if something wasn't filled out (not specific to software, but again the implementation of it).

For me the HIGHs were February of the following year when I had to prepare the CareNet Affiliation report and how easy it was! Also I am very analytical so I love the reports and statistics and being able to see the data entry translate into those.

In terms of training, today I would start with the 60+ training videos we've developed.

benefits:

1) They're available on-demand so your staff can watch them any time.

2) The videos are grouped by topic/series. For example: There is a series of videos called "Working with Client Files". It has 14 videos that incrementally build on each other. By the time you get to video 14 you will understand everything you need to know about managing client files.

3) Each video is also short...between 5-10 so it will be easy to complete an entire series in a reasonable amount of time.

4) If your staff needs a refresher, they can always go back and repeat any of the videos.

5) Finally, if you still need help, call us and setup a one-on-one training session.

You may have already made the switch by now, but in the event you haven't, here's my two cents :D Our center switched to ekyros two years ago this past January. I have LOVED learning how to utilize Cenerpiece and have found it to be an amazing program! Anytime I've had questions, if the help section doesn't have the answers I've needed, our contact person has always been so willing to help. The training videos provided were great & thoroughly explained how to use the system. I HIGHLY recommend ekyros! You won't regret it!Smiley

We have been using ekyros for about a year and a half. The best part about ekyros for me as the Nurse Manager has been the statistics and reports option. In a very short while, I can run reports and submit data for things like the Focus on the Family Ultrasound OUP report.

One of the drawbacks is getting every one trained. Some pick it up and go with it. Some picked it up slower. Some use it technically solid without errors. Some miss this or forget how to do things. There is always videos or refresher courses for them to look at. Sometimes it is frustrating that data entry can be erratic with multi users but we still get things done quickly and no one person is overwhelmed with data entry. We all use ekyros to chart, scheduling, documenting everything that we can. We can't totally avoid paper but we come close.

We are a two site center. I like the fact I can see what is going on at the other place and work at one. It was rough the first few months training everyone. But once staff started getting it and then the volunteers it has been helpful.

eKYROS has also allowed us to use a numeric system to help protect our clients privacy. As the clients came in we added them. We are slowing getting less of the old charts with names on them and our stacks of numbers are growing. I think that finding and filing charts are easier than alphabetical.

Electronic charting can be tough to transition for some. There was way more pros for us than cons. Once we figured out how paperwork flow, chart flow, etc worked, it has grown. We started out slow. I was the first user. Charting and using the system. Then we slowly implemented the scheduling into it. I don't suggest dropping the old and jumping into the new. Ease into it. Expect errors and frustrations, but in the end implementing this system is helpful.
