Date of donation vs. date of entry Posted: 22 Oct 2014 11:04 AM |
It would be great to be able to enter the date of the gift and the date of entry so we can track both.
I always use the date on the check when I enter donations so it will match the donors record. I also make copies of the checks, so it matches that for me also. But I would love to be able to track the donations entered on a specific date. It would make it easy to track all the Baby Bottle Boomerang or Banquet Donations that were entered on a specific date since many times those come in over a period of time for a single "event".
As always, you have a great program that makes it very easy to track and manage donors, clients and staff/volunteers. This is just a suggestion for the next update.
Thanks for all you do to make our job easier! |

Hi adcantrell,
Thanks for letting us know what would make the software better for you. How would you see this working? Just adding an additional date field...one for Date of Donation, another for Date Entered? Something to that effect? Would you want additional reporting functions based off of both dates?
Thanks in advance,
Amy |

Hi adcantrell,
We automatically track the date and time when the donation was entered via a DateCreated field. This field is automatically updated to the current date/time when you add a new donation. Would that work? If so, where would you see using it? In a report filter? |

Hey Brian,
Thanks for your quick response!
Yes, in a report would be great. It might also be good to be able to pull stats by the entry date as well. |

Noticed the ekyros team had been working on some great updates to help us manage staff and volunteer work hours. I think this will be a great asset for us. Thanks for adding this feature.
Seeing the new update info made me think about wishing there was a way to pull reports/stats for donations based on date of donation as well as date entered into ekyros. I searched the forum to see if anyone had suggested this and found my own post from before... LOL!
I tend to enter a group of donations only a few times a month, but use the date on the check or the date received by the center if it is cash. At times, I would like to be able to pull all donations entered on a specific date if I have made a mistake and trying to find it or want to see a total for a specific time frame/ event.
I think you responded that this is something you might look at for a future update... just bringing it back up again. Thanks again for all that you do to make our jobs so much easier. I recommend eKyros to the other center directors who I talk to about data systems.
Keep up the good work!
Angie

HI Angie,
It's great to hear from you! Do you utilize the Deposit No. field on the donation form? If you do not one option would be to put the date entered here. I will be sure to discuss this at our team meeting tomorrow as I have not heard this request from other centers besides yours. I will be sure to follow up once its been discussed and provide you an update.
THANK you for reaching out and sharing your feedback on how we can better serve you and your center. Have a GREAT day!
Blessings,
Ashleigh |

Angie,
After receiving feedback from the development team they do not feel it is a good option to enter the date into the Deposit No. field on the donation form. I will give you a call tomorrow to connect and further discuss a possible filter on a report.
Have a Great evening!
Blessings

I love the new update for Aug.2016 with the Batch Entry for donations and pledges. I just entered in some checks for a recent Baby Bottle Boomerang. I love how it adds up the amount as I go. This is a great to check with my records. I love that I can enter them much quicker with fewer clicks. I found that I can still use the date on the check, but all that I enter will be kept together to make it easier to go back and find any mistakes for a specific event such as BBB or banquet.
So far the only thing I could suggest and it is not even an issue (just something that would make it even better) is adding the comment to the batch entry settings. Example all my donations for the Banquet will say Banquet in the comment. Again this is not a big deal... what you have already done with the update is awesome!
I did have a minor bug. I went into a donor file to update a phone number and clicked the back button to get back to the batch entry. Something happened and their donation was listed 3 times. This was an easy fix, but just wanted to make you aware.
Thanks again for the awesome work you all do at eKyros!

Hi Angie,
Thanks for the nice comments regarding the latest update. I'm glad it's making data entry more efficient.
Regarding your feedback. I had a feeling someone would want to default the receipt comments. We'll definitely add that to the next update.
Regarding the bug you mention. I'm not sure how the system can insert duplicate records clicking on the back button in the browser. I do want to make you aware that hitting the 'enter' key on the batch entry page will trigger the 'Add Donation' event. Is there a chance you clicked back, then enter? If not, please let me know if this happens again and I'll try to reproduce.
Thanks again for the kind words! |
