Serach for Files & Reports

Sear for files: Since we use "keywords" for our file numbers we would like to see "keywords" added back to the search capabilities. It would also help to be able to search by birthdate since our clients change last names or just don't give us their real name.
Reports: I would also like to see more flexabiitiy in the reports for donors. I don't quite understand why the choices are so limited. For example, I can't find all those who gave $200 one time donations...only those who gave a total of $200.

Hi Stewart526,

I am loving all the questions and feedback! We currently DO provide you the capability to search by birthdate, keyword, organization, etc. You can access these additional search filters by logging into CenterPiece, clicking on Client Management, to the right of"Apply" you will see a checkbox for "Show advanced filter options" check this box and see your additional search capabilities.

You also have the ability to search, via receipting, one-time gifts OR sum of all gifts for a date range. You can do this by clicking on Donor Management, select "Receipting" in the sub-menu, on the left hand side click "Generate Statements" select the date range you want to look at, if you are wanting to look at INDIVIDUAL donations you will enter the amount in "AMOUNT RECEIVED" field, if you are wanting to look at the SUM of all donations for the date range you will enter the amount in "SUM OF TAX-DEDUCTIBLE AMOUNT" field.

We provide extensive online training videos for the client and donor modules. We also provide User Guides for all modules. You can access these great resources by clicking on the "Help" tab within CenterPiece and selecting "Download User Guides" or "Online Training Center." Please also feel free to call me directly with any questions (469) 293-3079 ext: 103

Blessings,
Ashleigh

Hi Ashleigh,

Thanks for the "directions" on how to search by keyword, birthdate, etc! The people who do our client data entry will be soooo excited to hear this information. As I usually work in the Donor program, I don't really have a need for that. However, city and zip searches might come in handy.

I never thought of looking under "Receipting" for this report. Thanks for the information!

I do know that you provide User Guides and online training. When our center first started using your program, I read the User Guides "cover to cover" and found them extremely helpful and well written. I have looked at some of your training videos, but frankly have not had the time to view many of them. They too were helpful. Our correspondence has made me realize that I need to "make" some time to look at the "help" resources you provide. I do try to keep abreast of the changes made with each new release...at least with Donors. As for our staff, I have not been that successful at getting them to "continue their training" in your program. All I can do is encourage them to utilize these resources. When we first started with the program, I read all of the information and trained with someone from your organization. Then I trained our staff.

Thanks again for all of your help!

Just as birth date is very helpful in finding clients, email address would also be helpful. We JUST had a situation where a client responded to an email from her crisis counselor. The email had a different last name on it. I was able to find her in our files b/c of a reference in the email to when she was in here. I went to the month, narrowed it down, and matched up the email address! Just an idea! Thanks for all you do! Y'all are awesome!

God Bless,
Sandy <><

Hi Sandy,

Thank you for the feedback! I can see how that would be a very helpful feature going forward, especially as more centers are utilizing different types of technology more.

Regards,

Amy

It would be nice to be able to search clients by the notes from their visit. Sometimes we cannot remember a clients details other than what would've been put in the notes. For example, we have a client that was in a while back that had weight loss surgery, but cannot remember name or what month she visited.

Thank you,
Michaela

Hi Michaela,

Thank you for providing this feedback for us. How would you see something like this working? Would you want it to be added to the search criteria on the Client Files page? I'm assuming you'd want to be able to type in anything and it search the entirety of the note (for example, "weight loss" or "weight") and it return any client files whose notes have those words in them. Does that sound accurate?

Thanks,

Amy

I see it as maybe an additional search field that would search the notes in client files. I know that it would probably use a lot of bandwidth, so maybe be able to put a date range in for it as well.

Hi Michaela,

Thanks for the additional detail. Please send me an email to amyc@ekyros.com too so I can put this feedback right into your file and we'll be able to consult with you further if and when we get ready to implement something like this.

Kind Regards,

Amy
