Old pledges

There are pledges on my donors that are 2 or more years old. What is the best way to clear these off of my records? Is there a way to "retire" the campaign?

Hi ccpcbanquet,

You can click the "Cancel pledge" check box on any pledge that you want to retire but not delete. This tells the software to stop pulling it up as past due, and to keep the record that it existed but not expect any payment on it. I hope this helps!

Will you guys be adding the ability to close off "retire" or cancel pledge groups from different years soon? We have old pledges that go back into 2009 or before! It will take me forever to just go through each pledge and cancel them. Would you guys consider adding this feature?

Hi BPCCounselor,

How do you see that working? How would that function for you to best fit your needs?Currently you have the ability to "close" an event within Fundraising however you do still need to go and "Cancel" each pledge for those that are unfulfilled. My only thought is if we were to cancel/close pledges it would wipe out all pledges-- even fulfilled, as a whole for that event. Just trying to think through that a little more and get details on how you'd like feature to function.

You can also run the Pledges report OR Pledge Statements report to retire pledges. Just view as "List". From there you can click on each pledge that matches your criteria (e.g. 2009) and edit the pledge (by clicking on the pledge number) and setting cancel flag. This way you don't have to open each donor file. Hope that helps.

I'm doing the Past Pledge report thing as of right now, but it still just takes so much time. I've barely made a dent in one year of unfulfilled pledges unfortunately. We just have so many unfulfilled pledges from the past. It would be nice if there was a way the feature could separate "fulfilled" pledges from "unfulfilled" pledges and also sort by date. That way we could just cancel all "unfullfilled" from 2009 in a batch, for example. I know it might be complicated, but something like this could really come in handy for us!

I can see the benefit of a function like this. We also have to be careful when creating functionality by batches just by nature of doing things like this in groups.
