Hello,
A client of ours came in one afternoon for parenting class, then he came in the evening for a group lesson. When I tried to register his second visit that evening as a second case visit for that day, I got an error message saying, "A visit on already exists on 2/25/2014 in case number 01. Either change the date or delete the existing visit."
I would like to register this second visit on this day but I don't see how.
Please advise. Thank you.
PS. The wording on the error message also needs attention ... |

Where are you trying to enter the second class visit? On the client file? Or the Quickform? |

With the client file open, on the left, there is "Case Visit"
I click on that and it opens a "Case Visit Form"
That is where I am selecting the second return visit in the same day and receiving the error message. |

No need to do that. Just click new individual education form (for the class) at the top the visit datet should default to the last visit date (today). enter the other fields in the form and click save and close. that should do it! |

Ok. I had not set up a class for that. I'll look into that.
However, that does not address the initial issue of not seeming to be able to allow a client to visit twice in one day, does it? |

Why would a Group Attendance Form be called an "Individual" Education Form?
In our Centre, we primarily work with individuals one on one with parenting programs. The name of the form as an "Individual" education form is confusing for us.

For group attendance, you need to setup a Group Class under Client Management / Group Classes. It's then super easy to record attendance. Be sure to check out the Group Class videos under Help/Online Training Center.
When entering a form under client file, you just need to add new form, if the date in the Visit Date listbox already exists use it. If not, click the ellipsis to add a new visit date. One visit can have 1 or more activity forms. But only 1 visit date can exist. For clarification, I suggest you watch the "How to Add New Activity Forms" videos in Online training center. This will help you a lot.

Thanks. I see how to create a Group Class now.
There is no video with that name that I could see, but I did look over the step-by-step guide.
We still have not addressed my initial issue of a client who comes in twice in one day for a similar activity. If a client comes in in the morning and does a parenting session and then comes in again in the evening to do a parenting session, there seems to be no way to show that as two distinct visits. It seems we would have to list all their activity under the same visit even if they came two different times in one day. |

Hi Bill,
Regarding Q1, if a visit already exists, you add new forms to it. You don't need to create a new visit on the same date. To do this, just click on a new form (e.g. Individual Education or Pregnancy Test etc...) and the Visit date will already be displayed at the top.
Please check out the videos I mentioned. They are 5 minute walk-throughs that will really help you. In the second link on the top left under the Help tab it says "Online Training Center (Videos). Good morning Bill,
You are correct. The case visit is meant to indicate which clients were at your center on which dates, so you cannot add more than one case visit per client per date. This is by design. We are bringing you an update soon where you'll be able to track more than one case visits IF a client visited more than one of your locations within a single day (you will still only be able to add one visit per location per date).
