Case visit does not show on "All Activity" but appears in "List"
Posted: 01 Jun 2013 12:16 PM
We have only started using the Scheduler to make appointments. The person creating the Client visit record enters nothing but the date and counselors name fields into the form. The record is created to be able to add client notes into the database. However, this particular case does not have notes associated with it.
What is required to cause the "Case number" to appear in the "All Activity" listing?

I search Cases and it appears.
I search Files and the case appears under the Case List.
I enter QuickForm search and the case appears in the available list.
I look at All Activity and the Case Visit does not appear; only the Appointment shows in the Activity List with the other visit activity for other cases. The precious Case is closed.

Hi Keith,

I think you're getting confused between Case Visits and Appointments. They are different.

Appointments:

-Appointments are created in the scheduler and are not associated to cases. In fact, they don't even have to be associated to client files if you wish not to check them in and link a client file. You can just put the client's name in the "Subject" line.
-The appointment status allows your to track shows and no-shows.
-Appointments are not associated to a case number.

Case Visits:

-When a client "shows" for an appointment and receives "services" you create a "Case Visit" form (under the case) to record the services they received during the visit.
-Case visit forms are only created when a client is a show. You would never create one if a client was a no-show.
-Case Visits *are* associated to a case number.

Hope that helps!

***********************************************************************************
The following is a copy/paste of the record while viewing the "Case 001". The case is open and shows a counselor assigned to the case. No other data has been entered into the case.
The case was opened by activity on the appointment scheduler - the status is "Show".
If this is normal, I can accept it. But the displays are inconsistent.
Please see more data in the update below.
I await your reply.

The following is a copy/paste of a display of "All Activity" for the client record. At the bottom, you will only see only the Appointment activity. As you will notice, the Case# does not appear in the display. The reason for the original question.

yes that is correct. appointments don't show up under the case because they are only assigned at the file level. Please call us if you have additional questions about this.

PS: Please be aware the forums are Public and you shouldn't post any private information regarding a client. I went ahead and x'd out the client's name in your original post.
