Increase of number of Clients for Verification of Pregnancy

Our state (NC) has passed new abortion laws. We are seeing an increase in clients coming in for VOP, verification of pregnancy, only.
We would like to track that activity but see no way to enter the data except in the sonogram form in 'client referred' but don't see a way to pull the specific data.
Another way is on the appointment category and pull that data on the appointment statistics then manually subtracting the VOP from 'real' center activity.
Can you help? |

Hi Keith,
It's great to hear from you. What exactly are you wanting to track-- why they came in (pregnancy verification) or that they received a verification of pregnancy?
You could add "Verification of Pregnancy" under "How did you hear about us?" If you are wanting those who were referred for that specifically-- you wouldn't know from where (doctor, social services, friend, etc.) Another option would be to track Verification of PRegnancy under the Referral form on a client file-- this is where we tracked if a Verification of Pregnancy was provided to a client. Does that make sense?

Hi Keith,
Not too clear which you are trying to track...the VOP, or that the client was referred in...or both? But based on what I think you are asking...I would add a category such as 'referred for VOP only' to your category list on the file. Then just run the "Unique Clients Served By Date Range Report" and select just that category. Hope this helps!

Sorry - my last post was not accurate. It should have only reported the idea was good.
I created a VOP category and specified that VOP category on some of my clients.
I waited for the record/file update to occur (over night) and ran the "Unique Clients..." but find 'no' clients selected by the report even though there are two valid clients with the category set to VOP. |

Hi Keith,
When pulling unique clients served by date range it references the case visit forms-- you have to have a client have a case visit, that also has the category, for said date range.
For example if Suzy Smith is set as VOP category and you pull unique clients served by date range for 1/1/2013 - 3/31/2013 and the last time Suzy came to visit was 12/15/2012-- she would *not* show in the report-- she would only show if she had a case visit for 1/1/2013 - 3/31/2013 does that make sense?
My suggestion would be to utilize the referral form so you can see which visit and when it was from (as this is attached to a specific case visit). I hope this makes sense

Hi KeithF-
If you added the "VOP" to the Client file as a Category and then run a "Unique Clients Served By Date Range Report" with only the VOP category selected. ALL VOP categorized clients that had a visit during that time frame will be included in this report. Please verify that the files show "VOP" as a category, and that they visited during the time frame you are selecting. You do not need to wait "over night" this report is in real time. (also, you do not have to have the category selected elsewhere like on the visit like I think was also suggested). I have no problem in our demo site getting this to work every time and know that this is used quite often as a way to track in similar situations. So, please try again if you think it is a good solution. Or please give me a call if we can discuss this or other options. My ext. is 106. Good luck!

The report works. You do have to have a case visit within the date range. I did not check that when I ran the test. One must understand so much about the program. It will not track if you only have a client file created with no 'visit'. Good job! |

You are correct, it may be beneficial to reference the "Source" form within Report/statistic. The "Source" form tells you where it is pulling information from-- this will help you determine what needs to be in the file in order to show up. Please let us know if you have any other questions

I have noticed that you added an opportunity to alter/edit the "purpose of the visit" pull down in the next release. This will facilitate tracking of the 'VOP' clients which was the purpose of this inquiry. Thanks for being proactive in making this function available.
