tracking unique clients

I am trying to find out how many unique clients we serve in a year. From what I can see, when I run that search, I can get unique clients in a month, but, if they come back in subsequent months (as our Parenting Program clients do), they are counted again each month. Thanks, Laura

Hi Laura,
it's great to hear from you! If you login to CenterPiece, click on Client Management, select Reports, and run the Unique Clients Served by Date Range for the year that will give a non-duplicated number of clients seen by date range. Hope this helps, have a GREAT day!

Hi Lauraf,

Under your client reports section, run your "Unique Clients Served by Date Range Report". This will count each and every client only once within the time frame and give you a completely unique count of clients regardless of the number of visits each client had. Let me know if this helps.

I am running into an issue...
I am running a report for 1/1/2012 to 12/31/2012 with drill down option of pregnancy test clients and coming up with a total of 3 unique clients for the entire year. What do you think am I doing wrong?

I am unsure what you mean by "drill down option of pregnancy test." Are you referring to a category?

Hi Laura,
The category is pulled from the general file. If a client has not been checked for that category they will not be included in the report, regardless of service provided. Meaning if you create a new client file and do NOT mark them as "Pregnancy Test Category" but they did receive a pregnancy test that was entered under the Activity, they will not be displayed. Does that make sense?

Hmmmmm...I will have to go into some of our client files and double check, but, as far as I know we do enter the primary reason for the visit with every client. Not sure why only 3 would be showing up for the entire year. Thx

Hi Laura,
Primary Purpose is pulled from the Case Visit Form, the category is completely separate from the Case Visit Form. If you open Client Management, open a client file, along the left hand side click "Edit File" that will open the General file (name, address, birthdate, etc.) if you then scroll to the bottom you will see "Category" this is what you are selecting when running the report. If a client has NOT been assigned to this category, under the general file, they will not show up. Does that make sense?

Well, I just started opening up some of the pregnancy test client files and am finding that the "case visit-primary purpose-pregnancy test" is showing up in alot more than 3 clients for the year but they are not included in the unique client stat for the year. Any other ideas?
True, some had a primary reason for visit of ultrasound. But I found 7 to start that had pregnancy test listed as primary reason.

Unfortunately you are looking at Case Visit and this is not where it's pulling the information from. Please give us a call and we can better walk you thru and explain where it is pulling from.
