Monthly Clients Served vs. Client Visit Posted: 19 Aug 2011 12:45 PM |
I'm having trouble understanding the difference between the "Monthly Clients Served Statistics" versus the "Client Visit Statistics" forms.
I'm trying to ascertain the number of visits made to a particular location thus far thus year. If I use the "Monthly Clients Served" form, I will get the number of UNIQUE clients per month, no matter how many times client have been to that location in each month. If I use the "Client Visit Statistics" form, I will get ALL the visits for each client per month. Correct?
However, if I pull the results from the "Client Visit Statistics" form into Excel and use Excel's "Remove Duplicates" feature, then I discover that I have twice as many visits in the "Client Visit Statistics" form than I do in the "Monthly Clients Served" form.
What is creating this discrepancy? I tried looking for my answer in the Help section but couldn't find anything. Any assistance would be great! |

Hi AllisonS,
So sorry for the delay of getting back with you. Yes, the Monthly Clients Served Statistic gives you the number of UNIQUE clients per month, deduplicated and the Client Visit Statistic gives you the total number of client visits per month. Can you provide some additional detail about how you are pulling the numbers (for example, the time value, year, location, and any additional measures)? This would help us to determine exactly what information you are looking for.

Hi Amy,
In the Client Visit Statistics report, I set the following:
Time: Date of Visit
Year: 2011
Location: Our educational facility that I am trying to get the monthly stats for
I leave Columns 2-4 blank.
The box "Show Monthly Totals" is checked.
For the Monthly Clients Served report, I do exactly the same thing as the above. Hope this helps. The following may also be useful:
I just tried pulling the statistics for January 2011 for our educational facility, and the Monthly Clients Served report returns 51 results. When I pull the Client Visit Statistics report for the same month from the same location, I get 269 results. But when I deduplicate the Client Visit Statistics report, I get 98 results.
I have also found, in further research since my initial post, that there are some names appearing in one report but not the other. For example, a client with the initials A.C. appears in the Monthly Clients Served report but not the Client Visit Statistics report for the same location and date (Jan 2011). Conversely, client J.A. appears in the Client Visit Statistics report but not the Monthly Clients Served report, again, for the same location and month. |

What month are you drilling down on? Remember, in Clients Served it only counts a client once per month. If a client viisted each month in Jan through Dec 2010, he/she will only be listed once in each month, but 12 times in the 2010 total when you drill down. FYI
If you truly want to cross reference totals, do it month by month. eg. compare Clients Served for Jan 2010 and deduplicate Client Visits for Jan 2010. The totals should be the same.

Sorry about that, I realize I was pretty vague; I'm not looking for one specific month. My director wants a spreadsheet for each month in 2011 stating how many clients visited our educational facility in January, how many in February, and so on. She had noticed that when she compared Clients Served for Jan 2011 and deduplicated Client Visits for Jan 2011, the numbers she pulled didn't match, and she asked me to investigate.
I learned something new since my last post: our medical records person who enters our forms into CenterPiece noticed that the source form for both reports in question is the Case Visits Form.
But we enter our attendance records through the Group Classes tab, not the Files or Cases tab. So class attendance at our educational facility is never entered as a Case Visit. I think that's why the numbers in these reports are off.
Does this make sense, and if so, could this theory be correct? |

When you go through your group class roster and check in attendees, it puts a record of it in their file, and creates a case visit for you essentially. It is probably a good idea to call your account manager and talk through this over the phone to make sure we are understanding you correctly. The main line is 469-293-3079. just to add to Amy's comments. If you don't know who your account manager is just call our main number at 469-293-3079 and leave a message at the main menu.
