Updated Scheduler

I'm exploring the new scheduler this morning, and finding that you can only edit resources on a weekly basis. We need to be able to put in a month's worth of available appointment times, and need to be able to vary the times on a daily basis. For example, this Monday we may have appointments available at 10, 11, and 12. Next Monday the scedule may change to 1, 2, 3, and 4. Does that make sense? And since some of our appointments are made 2 or 3 weeks out in advance, we need to be able to do this well in advance. Is there anything I'm not seeing when attempting to do this? Any help you can offer would be WONDERFUL! Thanks!

I am able to set up resources for the month, but I am also frusterated with not being able to edit/ delete resource for specific days. For example twice a month we have US nights on the 2nd and 4th Tuesdays evenings but we aren't open the rest of the month one Tues evenings or we have a volunteer who mentors who may be in three times a month on a Weds but then there is the one Weds that that volunteer is not in. Please provide insight on how we can work around or with this in the new scheduler.

Is there any way to combine the scheduler and the resource? We'd like to be able to see both on one page. And we can no longer open a client file from either of these pages? From what we see, we have to go out of the scheduler/resource page to get back into the client file?

Hi Vlwangler,
You do have the ability to hover your mouse over the "grayed" out blocks of already scheduled times and it will provide a pop-up of who is scheduled for that time. You do have the ability to open the client file from the day, week, or month view once the client file has been checked in (show, no show, rescheduled, cancel) and linked to a client file. Does this make sense?

This will bring up their appointment, but I'm looking for an easy way to get into her file to "add new" without going through all the steps to get out of scheduler and go back into client management and then go into the file and put in their name. It seems like there are so many steps and it could be easier?

After talking to the development team they will be posting a small update in the coming weeks that will allow you to click on the clients name within the Scheduler and be taken to the client's file. Have a great day!

So I have had a client come, I have checked her in as a show and linked the case but I am still not able to access her file from the day, week, or month view. I can select a file, but I cannot access it. Am I misunderstanding you or doing something wrong?

P.s. when do you think that edit daily resource will be reinstated . . . I really can't let volunteers use the scheduler until we have that, otherwise we are going to be a scheduleing mess!

Thank you! And was there any way to combine the scheduler and the resource page. Maybe others don't have this need? We'd like to see the actual schedule in the actual resource page. :)

Can you also ask the developers to bring back the drop down menu for staff names? Right now when making an appt you have to know the name of the person the client will be seeing and be able to type it in correctly. I just know volunteers who are only here once a month will struggle with that.

Amandanorell,

Volunteers have the ability to enter based upon the last name OR the first name. They will have to know at least part of the staff/volunteer name in order to assin it to someone at all. If they know the first name they can also search by that for example ",Ashleigh" as you begin to type ",a-s-h" it will provide you with names that fall within that criteria. Be sure to include the , and then begin typing the first naem. The auto-complete entry allows for quicker, more efficient entry for the appointment book.

I understand how it works and that is great for someone like me who knows everyone. The problem is, when you are working with so many volunteers, they may not be able to remember the name or even know who is working a particular day - especially if is is a couple of weeks out. The drop down was nice, because they could pick a name from a list rather than having to remember a name or go look it up.

How would they know who to select if they have a drop down vs. an auto-complete as you type? How do they know who is going to see those clients regardless?

Any chance we could get the eKyros people (that appear in blue at the bottom of the forum screen) to add their IM addresses to their file pages? Then we could IM each other with questions as well. :)

We had an accidental case 2 added before case one was completed. How do we delete a case? Is there no longer a delete button for a case?

I guess my concerns are more rooted in not being able to control who volunteers enter as staff/volunteer. Before it was limited to a list that we controlled and now the volunteers have to remember the name before typing, rather that having visual list to immediately jog their memory of who the staff members are. As a result, I can totally see volunteers typing in a wrong name or spelling it wrong and then saving the appointment with a name to a person that does not exist.

I did notice that after an appt is saved, that you can use a drop down to select a name. That is really nice, I would just be nice to have that before you save the appt. =O)

I also noticed that inactive staff members are showing up in the auto fill when making and appt. Sorry- meant to say that before!

Vlwangler- When you open a client/donor/staff file you will see the new task pane to the left. Once you open a case, in this task pane, you have the option to "delete case" be sure to verify the case number you are deleting. I would also encourage you to review the revised and updated client management section under the help tab that takes you through this process step by step. Also we do not have IM addresses to share but we love hearing from you via the online forums!Smiley

Amandanorell- It will only allow you to add a staff/volunteer that is entered in the system, you cannot randomly type a name and have it create a file or link to that staff/volunteer. We are aware that currently inactive staff/volunteer are showing in the drop down and will post a fix in the coming weeks to address this.
