Cases vs Clients
Posted: 10 Nov 2010 07:40 AM
Hello, again.

I've started reconciling the stats for the CareNet report and am having the same problem this year as last. Care Net descriptions say, "number of clients who . . ." but it's actually the number of cases that are counted. For example, the report shows that we've shared concepts on abstinence with 191 clients when in fact the count is only 184.

It would be soooo helpful if when you or CareNet were talking about clients you said "clients" and when the stats reflected cases it said "cases." It makes it very difficult for us to know what the stats actually reflect and what information Care Net really wants when the terms are used interchangeably.

God bless you all,
Karole

Hi Karole,

See Care Net's definition of a client below. This is taken directly from their annual renewal statistical FAQ/definitions. Please note the new client definition. If a client has more than 1 pregnancy related concern in the reporting year, per Care Net the client should be counted each time. Each pregnancy related concern is tracked as a new case in eKYROS. Hope that helps.

CARENET'S DEFINITION OF A CLIENT:

What is the definition of a client?
ANSWER: A pregnancy center client is any person who physically visited the center,
completed an intake and received

What is a ‘new’ client?
ANSWER: A ‘new’ client is any client who has never received services from the center in
the past or a former client with a new pregnancy-related concern (new pregnancy, postabortion,
abstinence).

Hi, Brian. Yep, I understand the definitions, and after reading the CareNet report more carefully see that they have done a great job of being more specific in their questions regarding clients and cases. I am still confused, though, about some of the program stats on the CareNet report.

Question 7 asks for women who received pregnancy options counseling. Our numbers are pretty close there, but there were still 5 duplicate clients which I don't understand.

Question 8, however, is way off for us. It asks for the number of clients who received parenting education. The report shows 69 taken from the Ekyros Program stats. Mentioning that we have parenting classes is very different from actually taking them and learning parenting skills. We have actually had 112 different women who have taken parenting classes so far this year, so our actual number is much higher than what you’re showing.

Question 9 is also asking specifically for clients who have had childbirth education. 56 verses 19 women who have actually taken classes.

Question 12 shows 2 clients who received skills/job training concepts shared when we have had 5 clients who have taken classes.

Does CareNet want concepts, classes or just the highest number of either?

Also, the Ekyros descriptives for some of the statistical reports are not representative of the numbers generated. Please see my post of 9/13/10 for which I have received no reply.

Thanks for all your hard work.

God bless you,
Karole

Karole,
All of the program statistics are gathered via the concepts shared and individual education forms. Go to Client Management, Office Forms, Office Use Only Form- locate the Concepts Shared Form-- where it states "Concepts Shared" click edit list. This will open the list and you will be able to see which concept is tied to what program. You will be able to edit these and update them if they are incorrect. You will then want to locate the Individual education form and click edit list for class name updating and fixing the programs attached to the class name as well.

I apologize in not responding to your 9/13/10 post as I read it as a statement, something you'd like changed in the verbage opposed to a question. You are correct that it counts the client each time they are selected for a referral, class, or concept. For example if Susie Homemaker received a referral for a physician, WIC, and legal she would be counted for each individual referral she received. If she also received concepts shared of abortion, pre-natal, and spiritual discussion it would count her for each individual concept. This allows you to accurately pull statistics for what is being shared. If the referral statistic were to only count her 1x you would not be able to accurately gather how many referrals were given for a specific option. Does this make sense?

Blessings,
Ashleigh

Ashleigh makes a great point. Make sure your program mappings are correct.

Also, tracking down all the "anomalies" in the Care Net report is going to get a lot easier in a new update to CenterPiece we are releasing soon. Among many other enhancements, the update includes a completely new Care Net report that will allow you to "drill-down' on each number right within the report to see all records that make up the number. This will allow you to easily see/fix any discrepancies between your numbers and the numbers in the report. Stay tuned...

OK. Did that. Everything looks good to me.

If they are showing up correctly in the Class Attendance Statistics under Parenting, shouldn't they be included in the Program Statistics, too?

Looks like the numbers in the Program Statistics only reflect New Cases. Is that true?

Hi Karole,
The Client Program Statistics counts each program 1 time per case even if a client attended the same group/individual class and/or concept multiple times.

Blessings,
Ashleigh
