Donation Receipts
Posted: 19 Jul 2010 09:07 PM
Dear Friends,

More and more, we have donors who don't want to receive a receipt after every donation due to postage/receipt/envelope costs. Unfortunately, it's nearly impossible for us to remember to check the box of each of these donor's donations just because of how much data entry we do. Would there be a way to have a box to check on the donor's file itself that keeps each donation receipt from being printed, except for the year-end statement?

Thank you,
Aimee

Hello Ms. Aimee!

I hope you are doing well. To fix this need simply click the "Hold Mail" box at the bottom of the donor's file, on the general tab, and then click "Save and close." This will enable you to filter out those who do NOT want to receive mailings without having to remember to "uncheck" the print receipt box everytime. When you go to pull "Batch Receipts" you will simply select the filter "Hold Mail: No" this will bring up everyone who has NOT specific they want their mail to be held. Then when you have year end receipts going out you will leave the filter set to "Hold Mail: All" so that everyone who gave would receive a statement IF they gave. I hope this was helpful, if you have questions or need clarfication please let us know. Have a GREAT day!

Blessings,
Ashleigh

Ah, yes, Ashleigh! Thanks for your reply.

I know about that "Hold Mail" box but didn't think of that as an option because I still want these donors to receive newsletters and appeal letters. I guess I can use this and print a separate list of those who have their mail held and pick out those who are regular donors. Can you confirm that this is the only way to do that?

Thanks again,
Aimee

Aimee,
This is the only other option I can think of that would work besides unchecking the "Print Receipt" box during the data entry process. I apologize!

Blessings,
Ashleigh
