Would it be possible to add "Add New Appointment" to the drop down list (or some where) in the client file to make it easier to set appointments for clients without having to leave their file and go to the appointment book?
Also, I noticed that "upcoming appointments" still show that way in the Activity list even if it has been canceled. Can you make it show "Canceled" or "Rescheduled" in the Activity list in the client file? It does show this in the Appointment book, but not from the client file side.
One more thing... can you make it so that you can add a new client appointment without having to create a file and case? Most of the time we only have a First Name and Last Initial and phone number. I hate to create a file for her not to come in and then have to go back and delete it. I guess we can just create one "unknown, name" client and use for new appointments and then go back and make the changes if she comes in. Thanks for your help with that one...lol.. the above would still be great if possible.

Hi Angie,
For the most part you shouldn't be adding appointments through the file view because you are referencing the "Resources" to see what is free/busy so I am confused why this would be beneficial. Please provide additional clarification
Canceled/Rescheduled: I will pass this suggestion along to the development team.
Appt Book: Not associate a file- moving forward we will be opening up the appointment book to allow for all appointment types and not assign a file until you check-in as "Show" until then you can create a "Client File" or "Client Appointment" dummy file to utilize and check-in using the real client file if and when they show up.

Often it is through a pregnancy test visit, follow-up call or at a EWYL visit that they make the appointment. In either case, we are already in their file to update the correspondance or visit. It would be much easier to go ahead and set up the appointment from the file than to close the file and go into the appointment book.
Also, if the appointment is set from the file side then you would not have to make sure that you have the name correct and the correct client. We are a small center, but we already have more than one set of clients that have the same first and last name. I'm sure this may be a larger issue with larger centers. Many times I have to refer back to the paper file or pull up her file to make sure that I have the correct name. I know we can verify with birthdate, but we still have to refer to the file to confirm. Sometimes to keep from pulling her paper file, I look at their visit or correspondance activity to see if it makes sense for them to be making a return visit vs the other client with the same name.
Appointment not connected to file until show: Will this mean that it will not show "Upcoming Appointment" in Activity in Client File? I do like that it shows that.
Thanks for working with me in these areas. These are not real problems, but just suggestions to make the program easier for our volunteers. If you cannot make the changes then it will still be an awesome program.

One way we are able to go into a report or apontment book and not leave a file is to open a second ekyros window- this way you can toggle from window to window. Just make sure to refresh so your changes will show on the second window.
if you hit ctrl N while viewing a file you can get a duplicate window- great trick I learned from QB online :)
Makes it much easier! We do this following an event too- to help guard against creating duplicate files. |
