Can I some how get the email addresses from my Donor base to my Outlook Contacts? We want to send out a mass email and it seems like there sould be a way to do that since the info is there.

-Under "Donor Management" select "Reports"

-Select "Donor Files"

-specify any needed filters (category, status, etc)

-Select "Run report"

-Click on "Email" field so that it brings all those with e-mails to the top (Z-backwards) or click twice so it brings all those without e-mails to the top and then starts with A-Z

-Select which program you would like to export to and select "Go"

-Once exported into the program you can copy the e-mail(s) you are wanting to send to and paste into an e-mail. You can highlight the whole column at once and paste all at once. you do not have to do this individually.

-Compose your e-mail and send


A suggestion for confidentiality is to put yourself in the "To" field of the e-mail so a copy is sent to you, and all of your donors in the "Bcc" field so that they receive a Blind Carbon Copy, which means they won't be able to see WHAT e-mails are included in this field.

At this time we do not have a specific report to those who are e-mail ONLY. However, if you create an "E-mail Provided" option under the "Category" tab this would be a faster way for you to pull the report in the future.

Thank you for this explanation. The only problem I had when I followed the directions was that you said "You can highlight the whole column at once and paste all at once. You do not have to do this individually." I did not find this to be true and only the first email listed pasted. Is there anything that I might have been doing wrong?

Carol,
You will want to click and drag to highlight the entire column of e-mail addresses and then paste into your mail message "To: CC: BCC:" An alternative would be to click on the very first e-mail address and then click shift, find the last e-mail address and while still pressing shift click on the last e-mail address. This will highlight all of them.

Hi Carol,

If you have MS Word, you can do an email merge similar which works similar to a mail merge except you send emails versus printing pages. In that case you would just need to export the donor list to an excel file from CenterPiece:

In CenterPiece:

Export donor name/addresses (including email) to Excel.
To do this run the Donor Files report.
Save the Excel File (be sure to save the file as and Excel 97-2003 WorkBook (.xls)

Then in MS Word:

Create your mail merge document and then when you merge, specify that you want to do a mail merge to email versus another document.

Outlook:

You can also import the excel sheet into MS Outlook contact through the File Import/Export fucntion in Outlook. FYI.
