Scheduling Question
Posted: 18 Mar 2010 09:11 PM
Hello! Our pregnancy center is growing...we have several classrooms and several classes going on at the same time. Is there a way to:
1. Change the view of the calendar so that we can look and see, all on one screen, what class is available and what time it meets on a particular day
2. If the class is full or not-it doesn't appear that we can limit class sizes with the group classes

Example: We want to be able to pull up a calendar and see that Classroom A is available for a Parenting class from 2 pm-3pm, with 3 open slots, Classroom B is available from 12-1 with 1 open slot, for a breastfeeding class and there are no classes scheduled today in Classroom C.

Can Ekyros do this??

Thank you so much for your help and for all you guys do!

Hi Charise,
Thank you for the question. Choose the Office Tab on the top horizontal toolbar and the select Calendar on the left vertical toolbar. Currently the calendar only shows Donor Events, Client Group Classes, and Client Appointments. From this calendar you can view the Class and the number of clients enrolled in the class. I hope this helps.
Sincerely, Christi

Charise,
Also, to add onto what Christi said, you can set the class status to closed, under the Group Classes tab. A Status of "Closed" means the class is full and is no longer accepting clients for enrollment.

Blessings,
Ashleigh

Thank you ladies!
So, can I use the resources to schedule group classes or can it only be used for individual appointments? It would be very helpful if there was a way to reserve resources along with group classes-that way I can schedule our classes in each of our classrooms and make sure we don't over lap or double book!
Please let me know if there is a way I or you guys could change the setting so that this would work. Thank you again for all the hard work you do!!

Charise,
Currently ONLY individual client appointments can be booked through the appointment book, however you can change your default weekly schedule to show that the rooms are not available to be booked for clients when a group class is going on. To do this go to your appointment book, click on the "Resource Free/Busy" tab, click on "Setup Resources" and click on "Default Schedule" to fix the issues. Don't hesitate in contacting us with any further questions. Have an amazing Easter!

HE HAS RISEN,
Ashleigh
