I have spoken with someone in the past about the complexity in scheduling client appointments, having to go through so many steps. It seems as though with the Optionline update, that has been fixed. Will this change be made for everyone who is using Ekyros, because we do not use Optionline at this point? And if so, when?

Hi Laura,
Can you be more specific of what you'd like to see incorporated or changed within the appointment book and how you feel implementing "timeslots" would remedy this? I look forward to hearing from you, have a great day!

Well, honestly, it is not a problem for ME because I am using Ekyros everyday, but my volunteers who come in only once a week or every other week seem to have difficulty with all of the steps it takes to simply make an appointment. We run into problems when people either forget to check the "resources/free busy" or they check it but somebody else forgot to block out the resource/free busy when scheduling an appointment etc. It seems like it would be much simpler to just look at the schedule, see what is a available and make the appointment all on one page, without having to look at the schedule on one page, then go to resources/free busy, then click on a green box, then hit apply, then hit save and close, then go to the schedule to see if it appeared etc. I hope this makes sense. It is just hard for some of my volunteers to remember every step, and it has caused many double bookings. Thanks for your help! |

Laura,
I understand what you are saying, volunteers already have so much to remember and are in minimally within the week, which is why we suggest as best practices to have a maximum of 2-3 people doing data entry.
How would you ideally like the appointment book to be setup? What would be the flow? I am just hoping to better understand your expections and hopes. With the detail provided I can go to the development team and give them your feedback. Thank you!

Yes, I am the only one who enters the client information, visits etc.; we just have many different people who schedule appointments.
Ideally, it would be wonderful to be able to see who is already scheduled and what is still available all on one page. Like if "Mary" is scheduled for a 9:00 pregnancy test, and then we have room for one more 9:00 pregnancy test, it would show Mary at 9:00 and then another space available for one more at 9:00. Then if a volunteer wants to schedule another test at 9:00, they can just click right there and add it. Not having to leave the schedule to check and see what is available. Not having to schedule it and then additionally have to go somewhere and block it out. Does that make sense?
Example:
9:00 Pregnancy Test Mary Doe
9:00 Pregnancy Test ___________
10:00 Pregnancy Test ___________
10:00 Pregnancy Test ___________
11:00 Pregnancy Test Katie Doe
This is just a quick/small example. The counselor can see what she has scheduled and then see that if someone calls, she can schedule them at 10:00, for instance, for a pregnancy test. Then hopefully just click there (perhaps on the open space or time) to add appointment. Then they won't have to go block it off anywhere either; everyone will just see that someone is schedule and that space is taken.

Laura,
THANK YOU for the detail and sample you provided. So if I understand you correctly you would like to implement the concept of timeslots into the appointment book. This would remove the "Resource Free/Busy" tab and basically they would look at the "times" available and if that is the one they are wanting would click onto that timeslot then opening the Appointment Form (minus the Resource Free/Busy) making that timeslots no longer available upon save and close. You would still have the ability to "edit" the appointment and check-in to pull your stats for the appointment book, am I correct?
