Lapsed Donor Report

Hi our center wants to send out two different end of the year letters. One letter to donors who made a donation in 2009 and one letter to people on our donor list who haven't donated in 2009 but have made donations in the past. I was able to run this report in the Lapsed Donor Report but my problem is we want to send out letters to these people and I don't see anyway to filter out the donors who don't receive mail. All the other reports have the "hold mail" yes or no option but not this report. How can I filter out these hold mail donors? Or is there another way to run the lapsed donor report? Also is there a report I can run that shows people on our list that have never made a donation?

Leah-

Please follow the options below to get the information you are needing.


DONATED IN 2009
1. Go to donor management
2. Along the left hand side, click on "receipting"
3. Along the upper left corner, click on "Create Statements"
4. Input range "01/01/2009-12/31/2009"
5. Select any other options, such as HoldMail:No, etc
6. Run Report
7. Along the upper left corner "View as: List"
8. To sort click on the column title such as "FirstName" or "LastName" or "Zip" whatever your preference.
9. Along the upper left click on "View as: Labels" or "View as: Letter" depending on your preference.
10. Export to MS Word or MS Excel and print


DONATED PRIOR TO 2009 BUT NOT IN 2009
1. Go to donor management
2. Along the left hand side click "Reports"
3. Click on "Lapsed Donor Report"
4. In the first date range you will input a year/date range to search where gifts were received based upon your example "01/01/2000-12/31/2008"
5. In the second date range you will input a year/date range to search where no gifts were received based upon your example "01/01/2009-12/31/2009"
6. Run Report
7. Along the upper left corner "View as: List"
8. To sort click on the column title such as "FirstName" or "LastName" or "Zip" whatever your preference.
9. Along the upper left click on "View as: Labels" or "View as: Letter" depending on your preference.
10. Export to MS Word or MS Excel and print

Thanks for your help but when I run the second report---"Donated prior to 2009 but not in 2009," I still end up with donors in this report that have their mail on hold (bad addresses). I need to know how to eliminate those people from my report since this is not an option in the lapsed donor report.

Leah-

Once you export your list into MS Word or MS Excel delete all donor file rows (in the exported document) that say "HoldMail: True" this means that hold mail is CHECKED. By deleting and then merging into labels or letters, you will only send to those who are not checked for hold mail.

I would like to suggest the hold mail option be added to the lapsed donor report. It would make it alot easier:-)

One last question, is there anyway to run a list of people who have never donated to our center. We have people who have volunteered or have been added to our mailing list but have not made a donation of any kind, how do I get a list of those people?

Unfortunately we do not have a report that will generate a list of everyone in your donor management system who has NOT given. I will pass both of these suggestions (including hold mail function on lapsed donor report) to our development team. Your input, as always, is greatly appreciated! Have a GREAT day!

we will add the hold mail filter to the lapsed donor report in the next update. we also plan to add a new report for donors that have never given. thanks for your feedback!

I ran a report according to the first instructions, and my organization name does not show if there are people listed under proper name. How do I remedy this?

Hi agriffin,

What exactly are you trying to create? Are you wanting a letter, labels, etc? When you view as a list it reflects all the different files available to you, including organization name. Is it filed as an organization OR as an individual? Another place to check is when you first open the actual file, on the general tab, look at file properties and see if the proper name is checked to "Auto-Update this on save" I look forward to hearing from you soon.

Hello agriffin,

If you are wanting a year-end report you will go to reports, batch receipts, create statements, select your date range you want pulled "01/01/2009-12/31/2009" and run report. This will provide a list of all donors for 2009 along with their activity, or donation activity. If I can be of further assistance don't hesitate in contacting us. Have a GREAT day!

Thanks Ashleigh, I have done all that, what I have a problem with is printing this information as reports. The report does not include the "organization" names. Am I missing something? or can this be added? I had to manually enter them all this year.
