We have assigned the computers our counselors use to input information to our medical director. When our counselors print out their notes, it doesn't print their correct counselor name--only the name the computer is assigned to. Is there any way to correct this? It shows the individual counselor's name on the computer, just not when you print.

It's great to hear from you. The user account is what is assigned to a specific person. eKYROS.com does not know the difference between which computer you are utilizing. As best practices we always suggest for each data entry person to have their own individual user account.

Can you provide me the specific steps you are following so I can better assist you?

Ashleigh,

At this point we have 3 user accounts--the director, myself, and the Client Director (which is our medical director at this point, as we don't have a person who does that). The director and I have full access to the information, but the Client director just has access to the client information. However, we allow each of our counselors to log in on the Client Director's user account, and input the information for their own clients. Do we need to have each of them have their own user id? The decision is left ultimately up to you and your center. Again, referring to best practices, we suggest a maximum of 2-3 data entry personnel. It is best to have data entry personnel that can be within the system daily. Unfortunately, most volunteers are only able to give 1 day a week. Volunteers already have so much to remember as far as resources that are available, client interaction standards, and so on it may be overwhelming to add data entry to that as well. However if you insist on this being your protocol, than my suggestion would be that each data entry person (you are saying all volunteers) have their own user account. With your annual subscription you are alloted 5 user accounts. You do have the option to purchase additional user accounts in packs of 5 for $50/year.

Regarding your previous question about notes. When you are saying that it shows the medical director's information, are you refering to the area that states "Last Updated by:" if so this again refers to the user account that person is utilizing.

As a side note, my center has each consultant input their own notes. From there they have a primary data entry person who does all other acitivity such as pregnancy tests, concepts shared, sonograms, etc.

I am glad I could be of assistance. In my previous statement it is not that I feel you are "overwhelming" your volunteers. My main concern is the accuracy and integrity of the information that is being entered into your database. Being within the system only 1 day a week may compromise this as they may have a difficult time remembering all that is required.
