Changine the Format of Receipt Posted: 26 Oct 2009 05:50 PM |
We want to print the donation statement on our own letterhead. How can we delete the Center address at the top and the Donation Statement wording so we can do that? |

I'm sorry but I cannot see the relevance of this thread to what I was asking. I want to change the address and donation statement at the top of the receipt not the bottom. |

I apologize for the confusing answer! Currently you do not have the ability to remove the center's name and address. When running your batch receipts you can view as a letter and create your own statement without th center's name and address, then print onto your letter head. I will pass your suggestion along to our development team. Thank you for your patience, have a GREAT day!

We send out donor statements monthly through the report section, "Batch Receipts" When that report comes up, it has the Center name and address in the upper left hand corner and the words Donor Statement in the upper right hand corner. I want that removed so I can print the report on our letter head. Otherwise it will not fit on the page. Sorry I was not clear. Thank you for your help. |

Currently you are *UNABLE* to remove the center's name, address, and the wording "Donation Statement" from the top of the receipt. As I mentioned before, you can view as a letter, and create your own type of statement without that information included. Follow the below steps to enter letter mode.
1. Go to donor management
2. Along the left hand side click on receipting
3. Upper left corner, click "Create Statements"
4. Select date range and additional criteria
5. Run report
6. Along the upper left hand side it says "View as: Report" this is a drop down list, click the box and select "View as: letter"
7. Upper left hand side it will show "--Select a letter--" to the right is a box with 3 dots "..." click on this box
8. Create your letter/statement, you will see "Insert MailMerge Fields" select those you'd like to include such as date, amount received, tax-deductible amount, first name, last name, etc.
9. Once the letter is completed click "Save and close"
10. Once you save an close you can now go to the upper left hand corner where is says "--Select a Letter" your letter should now show as an option in the drop down.
If we can be of further assistance don't hesitate in contacting us. Again, I apologize, for any confusion. Have a GREAT day!
Blessings,

Okay, I found the solution - if you ever get this question here is the answer: To print donation statements on Letterhead:
1. Create statements as usual with Batch Receipts
2. Export to MS Word
3. Save in Word under whatever heading you want (it has to be saved as document to work)
4. Open that document
5. MS Word has the option called Replace (in different places depending on which version)
6. Type in each line of address separately in "find what" box
7. Leave the "replace with" box empty
8. Click "replace all"
9. Adjust margins if need more room at top
This will eliminate that line in every place in the documents (each individual statement)
Each line has to be done individually and it won't change the page breaks or set-up
I knew there had to be a way but hoped it could be done through eKyros so didn't have to do it each time sent. Thank you for all the research and time spent on this. |

Am I correct in thinking that I would not be able to do this for the year-end statement since it would include multiple transactions per donor? |

Hi Jvanture,
Can you be provide additional details with what you're trying to accomplish? Are you wanting to add a letter or remove your address so you can put onto letterhead? I look forward to hearing from you soon.
Blessings,

Hi Ashley. We usually incorporate the year-end giving information into a letter about the past year. As far as I can see the only way to produce the year's details transactions/donor is through batch receipts. So I wrote a letter in the letter module, selected donors who gave during 2010, and chose the option to view as statement and selected the letter I had created. The problem with that is that there is so much space between our return address and the donor address that there's not enough room to have the letter and the transactions listed on one page.
I followed the recommendation in one of the posts to get rid of the return address on the statement, but that doesn't handle getting rid of all the returns (space) to move it up higher on the page to incorporate all of my letter and transactions.
I tried to view it as a letter, but then it doesn't include the transactions.
I also tried to do it using batch receipts and merge fields, but I can't figure out how to include each transaction for 2010 and then total it. I can get it to show the number of transactions and a total, but not the detail.
I would rather print it on my letterhead, but I don't have to. But I really need to get it on one page. Any ideas? |

Hi Jvanture,
The donation statements are pre-formatted to fit into a double window #9 envelope so you do not have to use pre-printed letterhead or stationary. With that said if you choose to you will need to make additional changes within MS Word once it is exported. Because it is a year end statement with multiple donations you may not be able to get everything onto 1 single page when also adding a letter. My suggestion would be to shorten the letter as much as possible as well as try changing the page margins within MS Word once exported. If that does not work you may need to strictly view as a letter and only include the merged field of totals opposed to all the detail. Does this make sense?
Blessings,
