Banquet Question
Posted: 19 Sep 2009 08:55 AM
Hello!! We are setting up for our banquet and are trying to be really organized this year!! :)
So...I have set up a new event with the groups as table numbers with the table host as the group captain, I have also set up sponsors as individuals that have already registered for the banquet/want to sit at that particular table host's table. But, I have run into a problem...we have individuals sponsoring tables that are unable to attend the banquet...where should I put them?? Also, do you guys track tables and seating arrangements somewhere else and just use the groups/sponsors tabs after the banquet and people have actually donated? I feel like I might be wasting my time...I am entering all these sponsors (because they are new donors) but I don't even know if they are going to donate yet??
Ok, sorry for the long question...any help would be greatly appreciated! Thank you!

Hi Charise-
Great to hear from you! I have answered your questions below, if you have additional questions, or it doesn't quite make sense don't hesitate in contacting us againSmiley

Individuals sponsoring but unable to attend: my suggestion (and what I did at my center) is to create a "dummy" table with my (the data entry person) name on it. That way it is properly tracked, they receive receipts, AND it doesn't skew your numbers for underwriters or anyone's table.

Tracking tables/seating arrangements: What my center did was go to reports, event sponsor listing, sort by table number (click on the column title, GroupName). From there we had created within Excel a chart of the setup with table numbers so the ushers would know where to seat them. We also put small table numbers on the actual table for those who wanted to find their own seat.

AGAIN if I can be of further assitance don't hesitate in contacting us. Have a GREAT day!

Blessings,
Ashleigh

Ok, thank you so much for your help! I have made a Mis Cellaneous table and I think that will work...
Another question-so I have table hosts/group captains that are also sponsoring their table (paying for that table). In order to enter their donation do I need to put them as a sponsor at their own table? It doesn't seem like I am able to enter a donation for the table sponsor/group captain-am I missing somthing or would you suggest I just add them to their table as a sponsor?? Thanks again so much for your help!

Charise-

You are correct! You will add them as a sponsor as well so you can 1: add their donations and 2: see the proper amount of people who will be "sitting" at the table. Have a GREAT day!! Keep up the good work.

Blessings,
Ashleigh
