Bulk Mail Report & Labels Posted: 30 Jan 2009 01:35 PM |
We currently are using another program to print our mailing list labels because eKyros does not provide a Bulk Mail Report or separate the label zip codes in the way the post office requires. This means that any time we change general information for donors (ie. name, address, etc.) we also must make the same changes in another program. This creates double the work as well as discrepencies in the two programs because it is easy to make mistakes. Are there any plans to incorporate "Bulk Mail" capabilities in future updates? This is something I believe all centers could benefit from. |

Hi Margie,
Thank you for your reply, but that's not what I'm trying to do. I do know how to print labels, reports, and letters in zip code order with your software. The post office has special rules about how the zip codes must be sorted for the mail to be sent via bulk rate.
The Newsletter Label program I am currently using prints in zip code order plus...(1) It provides a summary list of zip codes. For example, all the 5 digit zips are together, all the 3 digit zips are in together, all the ADC groups are together, and there is a category for MIxed zip codes. Each inidividual category (36106, 36107, 36109) is listed as well as the quantity. Then all the 5 digit zips are totatled, all the 3 digit zips are totaled, and all the ADC zips are totaled, and all the MIxed zip codes are totaled. I can e-mail you a copy of the report if you'd like. (2) When it prints the labels there is a label at the end of each zip code category (5 digit, 3 digit, ADC, MIxed Zip) that prints "ADC North Metro, GA 301" and the total number of labels in that category.
Each individual center would have a unique report depending upon their location. For example we have ADC North Metro, GA; ADC Nashiville, TN; ADC Macon, GA; ADC Birmingham, AL because we have more than 10 newsletters being mailed in those particular categories.

I too would like this capability.
With the potential of mailing out over 1000 pieces of mail on our donor list [hopefully one day] being able to break this down into the proper Post Office categories would be great.

RickB-
You are a posting king today! Thank you for all your great feedback. I will forward this along to our development team. A possible "quick fix" for now would be to utilize the "Categories" section within each donor file and separate them out so when you go to pull your report, you can filter them out they way you are specifically wanting. Please let us know if we can be of further assistance.
Blessings,

Hey, Ashleigh. We have the same problem with our bulk mailings. We haven't purchased a bulk mailing program. We generate the mailing list from our ekyros report/stat, export it into excel, sort by zip and then last name, and do a Word mail merge.
If ekyros could give us the ability to sort primarily by zip and then secondarily by last name, we could eliminate the excel/word steps. It would really help us.
Also, is there any way to delete our address from printing on the donation receipts?
Thanks. Karole for Rayna |

Karole-
Thanks for your awesome feedback! Can you explain the purpose of having the last name in order as well? Currently you can organize by zip code, so you could currently delete the steps of exporting/sorting if there isn't a particular purpose this serves? Let me know your thoughts.
Blessings,
Ashleigh |

To more easily match individualized letters to the right labels. I know if the same report is used to produce labels and letters, the order should be the same, but it makes it easier to have the double sort.

Ms. Ashleigh, is there anyway to keep our address from printing on our donation receipts? We use stationary that already includes our address, and we would like for it not to show up twice.
Thanks again.

Karole-
Thank you! I am sorry I didn't address this question the first time it came upCurrently there is NOT a way to remove the center name and address for the donation receipt. Not all centers use stationary, and obviously you want some record of where the receipt came from. I will forward your suggestion on to development and see about possibly having the option of the ADDRESS showing, but still having the center name on the receipt. Would this fir your needs?
Grateful,
Ashleigh |

I'm about done for the day, so I'll quit bothering you soon.
As long as I'm adding to the wish list, it would be great to be able to have primary and secondary sorts available on some of the statistical reports, too.
For example. I have been running case visit stats each day to check against our appointment activity. I run the stat and sort it by date to get everything by specific day. The appointment information prints out by time of appointment. If the case visits could be sorted by last name as well as by date, it would be much easier to check against the appointments. As it is, I export it to excel and do a double sort.
Thanks again, K

Yes, Ashleigh, an option to print or not to print would be perfect. Thanks. K |
