Zip Code Export to Excel
Posted: 23 Apr 2009 10:12 AM
Good morning!

In NJ, the zip codes begin with "0". When I create a spreadsheet that includes zip codes, I need to format that column as "text", then type in the zips. Because I'm exporting to a new spreadsheet from e-Kyros, I cannot pre-format the zip column, but there are too many to add the "0's" manually. How do you suggest I can solve this problem when I need a spreadsheets with zip codes?

Thank you for your help!
Melissa

Hi Melissa!

If I understand you correctly you have "0" and then it gives you a number when using the zip code measure or report. When clients are *NOT* given a zip code CenterPiece reflects this with a 0 in the zip code stat/report. If you were to click on the number to see the drilldown, then click into that client's file, you would see there is not a zipcode provided. If this is not the case please let me know. Also don't hesitate to contact us with any other questions or concerns.

Blessings,
Ashleigh

I'm so sorry I did not clarify. Excel leaves the first "0" our of the zip code when it is downloaded to a spreadsheet.

Here is an example:

Morristown, NJ's zip is 07960.

When I export info onto an Excel spreadsheet from e-Kyros, it posts the zip as: 7960

I lose the "0" because it's the first digit. I can call you if you would prefer to go over this. Youc an let me know.

Melissa

Melissa-

Thank you for the clarification! Can you explain the steps you are taking to pull the report/statistic and any measures you are using so I can duplicate and better answer your question? Thank you!Smiley

We're all a bit dazed and confused!! :)

When I'm in Reports, there are times I need to create a spreadsheet for mailing purposes, or just for our own info. For example, right now we are preparing for Golf 09, so I need a spreadsheet for each past Golfer of their past sponsors, including the sponsors mailing address.

I go to the Report tab and create a report, then where you have the Export To tab, I select Excel, then Go.

I'm in the office today until 2 if you need to reach me: 973-538-1426, or we can continue on this forum--whatever works best.

Thanks for your time on this!

Melissa-

Thank you for the extended clarification!SmileyThe issue is when exporting to MS Excel it automatically formats and reads it as a number, CenterPiece exports this information the issue is within MS Excel and how it reads the data. Good news, you can fix this by exporting to MS Word and save. When creating your mail merge you would select your data source as the MS Word file you previously saved with all the golfer/sponsor data from CenterPeice.

If I can be of further assistance or clarification please don't hesitate to contact us! Have a BLESSED weekend.Cool

With the exciting new release we have the option to export labels to a PDF file. Unfortunately, in the PDF file is treats leading zeroes in zip codes as a number and drops the zero. If I export it to Word as labels it creates a long left column only document of addresses.

I was really hoping to just use the label features rather than essentially doing a mail merge in Word. Am I missing something?

Hi jvanture,

I am pulling my labels into PDF and it is keeping the zeros on all zip codes with a lead zero. Which donor report are you pulling?

Thanks,

Amy

I go to Reports: Donor Files: View Labels: Category: Mail List and choose View Report. It shows addresses going down the left side of the screen.

The prompt says to (1) Use Avery blah blah and (2) Export to PDF for proper printing. I chose Export: PDF and was prompted to open or save FileAddressLabels.pdf from ekyros.com. I chose open.

If you go into our account and run this report with these parameters, on the first page in the middle column, five addresses down you will see Alexia Smith. Her zip should be 02144. It shows up as 2144.

Hi Jvanture,

Please give me a call when you are available to troubleshoot this as I am not experiencing the same issue. It may be that is how the zipcode is entered into the file but would like to troubleshoot this with you. You can reach me at 469-293-3079 ext:103. Have a GREAT day!

Well, this is just embarrassing. I went back and checked the record and indeed, the zip code was entered as 2144, not 02144. I just assumed (let's not go there) that it was still a problem because when we exported to Excel in the past the leading zero was always dropped. Mea cupla. Thank you for hanging in there with me.

On another note, when I printed my labels, all 3400 of them, I used the labels recommended and as they printed down the page they got closer and closer to the top of the label. Some of them actually printed above the label. What might I be doing wrong?

Hi jvanture,

No problem. Glad to hear the zip is exporting correctly.

In terms of labels, what exact report are you running? Also, does each page of labels look correct in Adobe prior to printing? ...especially towards the end?

Also, in Adobe Reader print dialog, make sure the Page Scaling option is set to "None".

Hi Jvanture,

Just to reiterate what Brian is saying you will want to make sure and once exported to PDF, click print, it should give you the option of "Page scaling" and you'll want to select none, your version may have a checkbox "Actual size" that you want to check. If you need further assistance with this please let us know. Have a GREAT day!

Blessings,
Ashleigh
