Marking Donor accounts for Correspondence
Posted: 12 Mar 2009 03:19 PM
We send out Direct Mail pieces every month except for every 3rd month when we send out Newsletters. I need to mark 200-400 accounts every month for direct mail pieces and over 1,000 accounts every three months for Newsletters. I do not see a streamlined process for marking correspondence on all of the accounts at once. Currently, I have to pull up each account and mark them separately.

Embers-

You are correct in the fact that at this point, there is no way to automatically fill out a "Correspondence" form when mail is sent to a donor.

By marking a category "Monthly" and "Newsletter" this will give you an idea of how often mail is sent to them and what mailings they are included in as of right now. I will forward this suggestion on to our development team to possibly incorporate in a future release.

THANK YOU for your feedback and great ideas!

Blessings,
Ashleigh

Hey Embers, thank you for your correspondence regarding mass 'selecting or deselecting'. I can see where it would be convenient to mark specific donors for direct mail pieces or mark specfic donors for Newsletters and/or for both. Currently, the best way to sort for mailing is to select a category for the individual donor and pull that category. I will submit your request for our next release. Please let me know if I can be of any assistance. Thank you

I too would like to have this capability.

Associated with it would be a report of which donors we have sent a piece of correspondence to over the years.

For example, if I add someone who is a potential donor, and we send them 4 newsletters a year and 4 personal letters interspersed in the year, if they never respond after say 3 years, I would want to know and mark them as inactive and possibly delete them. In our old MS access database that we used to use prior to EK, we were able to track that info.

Very Helpful

Rick

This thread from 2009 is a great idea. It's 2019 and I still see no way to enter multiple correspondence entries at a time. Even when just writing thank you notes- it would be nice to say once a week enter a single correspondence "Thank you Note" and denote multiple donors form whom to apply this correspondence to.

Current process is very time consuming. Especially for the above example of denoting who has received quarterly newsletters (over 400+ donor files!).

Hi adavis763,

Thanks for submitting your request to the forums for consideration. Yes, great job explaining how you would use this functionality within a correspondence form. So, you would like to be able to look up and link multiple Donors after filling out one correspondence form detailing your correspondence type and details. I will detail this feedback on your center account (thanks for including your site in your user name-GREAT idea) and submit to our development team for consideration.

In the old example from 2009 regarding "Newsletter" or mailings is often satisfied by just having that category on the file properties and therefore all files would have received all newsletters from their origination date on if they have that category negating the need to add a correspondence indicating each individually.

However, for other smaller targeted correspondence such as what you have described I can sure see how this would be GREAT to have! Thank you for helping to make CenterPiece better for everyone! Feel free to follow up with your designated Account Manager on any feature request.

Hi, I would also like to ditto this request. If a set of donor contacts receives a particular correspondence, it would be helpful to be able to do a mass update for that set. We have hundreds of contacts and trying to input a correspondence that goes to the majority of them is not quite feasible at this time. Tracking what the contacts receive and when they receive them, in order to track our follow-up efforts would be very beneficial. Thank you for considering this for your next update.
