Duplicate Donation
Posted: 09 Mar 2009 10:53 AM
Hello,
I am having a little trouble with trying to delete a duplicate donation. Somehow I entered it in twice and when trying to delete one of the donations, get the error message:

The DELETE statement conflicted with the REFERENCE constraint "XXXXXXXXX". The conflict in database "XXXXXXXX", table "XXXXXXXXXXXXX". The statement has been terminated.

Any help is greatly appreciated, thank you,
Susan

Hi Susan,

Sorry for the cryptic error message. Basically the donation has been included in a batch receipt statement. The system assumes you sent the receipt out to the donor, so it won't let you delete it.

You can tell which statement the donation has been included in by opening the donation and clicking the "Statement History" tab. This will show the BatchID and statement date. You will need to delete the statement the donation resides in from the batch list.

Unfortunately, today you can't remove an individual statements from the batch list (under Donor Management/Receipting"). You will need to delete the entire batch, delete the statement and then run a new batch and save it.

We will look at adding the ability to delete an individual statement in an upcoming release.

I hope this all makes sense. If you still have questions, please give us a call and we can walk you through the process. Thanks.

Hi, Brian.

I find myself in a similar situation, where I need to delete an individual's donation, but can't b/c it is "attached" to the receipt that was already sent out. I also had clicked on the Clear To Be Printed tab.

I just want to understand that I will have to erase the whole batch of saved receipts, in order to delete just one receipt? If I am misunderstanding, can you further explain. If I am correct, I will lose about 80 saved receipts statements.

Thank you,
Melissa

We debated whether we should include the ability to delete individual statements in a batch list. It now appears that we need to allow this. We will add this capability in the March update.

If you don't want to wait, you can delete the batch list (which deletes all statements). You would then need to delete the donation. Finally, you will need to recreate the same batch list based on the original criterial you used. I know it's 3 steps, but you do have the ability to remove the donation today...although i realize it's not optimal.

Thanks for your feedback.

Hi Jan, thanks for the question. Let me help you. You can go to the Donor Management Tab on the top horizontal tool bar and then open 'receipting' on the left vertical tool bar. Open the batch on receipts containing the the receipt that has been created in error. When you find the specific receipt to delete, check the 'red X' and the receipt will delete. Hope this helps, Sincerely.
