I'm working on our transition to eKyros. I'd like some advice on how to track when an advocate visits a client at home or the hospital. Does CareNet consider that a client visit?

Hello, ScienceLady!
Thanks for your post. CareNet would not consider that as a visit unless it took place at your center. You can still keep track of these visits as Notes in CenterPiece, though, so you have some documentation.

How would you recommend using the category (home visits) in the correspondence form? Would this apply to off-site visits? We have an opportunity to visit a client off site.

I created 3 categories under Correspondence: Telephone call, mailing and visit. I know this does not fit the idea of correspondence, but it seemed better than using Notes since reports (statistics) can be generated using the Correspondence categories. Our board likes to track all client 'contacts' not just 'visits' that CareNet cares about. We occasionally visit the home or hospital and have even attended a baby shower. There is room in the comments section to give more information about the purpose of the visit (phone call or mailing) for more detail. I think our method will serve us well.

Hi Science Lady,
Your post intrigued me. Our Centre also cares more about client contacts than client visits. If I do the same as you and track them under correspondence categories, are you entering every client contact into the correspondence area, or just adding the total number of correspondence contacts (Home, Showers, Phone) to the client visit totals provided elsewhere to get your totals for yoru Board? How can I get a report of the breakdown of the areas within correspondence? We have been also using the correspondence field to enter Furniture & Equipment Release Forms to this point, so I want to seperate that one line out, as it is not a client contact.

We add just non-visit contacts under the Correspondence window.
I just report the total of our categories (phone call, note, home/hospital visit) to the Board. I just checked and there is no way presently to separate out the different Correspondence categories.
Nice EKyros people: Can that be added to the report sorting options in a future update??? It really would be a useful place for centers to customize their records and track things without major additions to the program. I realize each center would have different categories, but could it be done generically (Category 1; Category 2, etc.)?

Hi ScienceLady,
Hope you are having a good morning. The Statistic that contains the correspondence is the Activity Statisitic. Under Column 2 set the measure to Acitivity Type. Then Run Report. The Statistic will present with all activity broken down by Activity Type. To reveal who received the Correspondences just click on the number either by the month or the year total.
I will pass along your suggestion to our development team, a statistic for Correspondence that would give you the numbers for correspondence by type, Thank you for your suggestion. :o)
