Pledges Posted: 26 Feb 2009 01:59 PM |
This is my second request, my first has never been responded to. I am wanting to be able to make a pledge "fulfilled" or' "inactive" after the term expires. I do see a delete button, but I do not want to delete the pledge completely. Example: 2007 banquet pledge, then 2008, and 2009. All of the catergories remain open. I want to be able to inactivate 2007 and 2008 so that only donations for 2009 are entered into the 2009 pledge.
Thank you |

cisen,
I apologize for the delay in responding to your post. If I understand your request, you would like to remove or "retire" a pledge category such as "Banquet 2008" when all pledges have been fulfilled. Are you referring to the Event name list on the pledge form?
Thanks for your patience and for helping clarify your request. I will look forward to your reply.
Bless you,
Tommy |

On the donation screen, you are able to select where to distribute the donation and if there is only one pledge there it is fine, but if there are 3 pledges open, ie. Ban 07, Ban 08, Ban 09, you are able to select any one of them. I would like to be able to "retire" 07 and 08 and only use the current one 09. Or if the pledge total had been fulfilled, be able to retire it, so that it would not be posted to the incorrect one by accident. I hope that I am making myself clear. |

Hi Cisen,
This is a great question! There is an easy way for you to "retire" a pledge in CenterPiece. On the Pledge Form there is a small checkbox at the very bottom that says "Cancel Pledge." When you check this box and then re-save the Pledge Form, this will mark this particular pledge as "no longer due" in the system. This should be used in circumstances when a donor cancels their pledge for some reason or just does not pay the complete amount and you wish to "close out" the pledge in your system. When you "cancel" a pledge, this will also remove the pledge from the list of pledges you see displayed to choose from on the Donation Form (like you mentioned in your previous post). Also, if a pledge has been completely fulfilled (paid in full), it will no longer be displayed in the list of "open" pledges on the Donation Form.
I hope this helps solve your problem. Please let us know if you need more help with this!
Blessings,
Sarah |

Thank you Sarah. I did know that the delete box was there but I was afraid that it would totally delete the pledge. Your last statement said that if the pledge is fulfilled that it would no longer display in the list of open, but it still is listed in the dropdown of pledges on the donation page. That is why I was concerned because each time I have to open the pledges to find out which one to post it too. I hope that you understand what I am trying to say. I may not show when I print out pledges due, but it does when I try to post a donation and apply it to pledges. It displays any that have been there. Know I can go back in and correct them so that only the current ones are open. |

Hi Cisen,
Let me give you some more detail to further explain. I was not referring to the actual "delete" button on the Pledge Form, and you are right, using this "delete" button will delete the entire pledge from the system (like it never existed). I was referring to the small checkbox at the bottom of the Pledge Form that says "Cancel Pledge" (it is next to the "Print Receipts" checkbox, above the save & delete buttons). This allows you to "cancel" the pledge, but it does NOT delete it from the system. So, cancelling a pledge and deleting a pledge are 2 different things. Does that help clarify and solve your problem?
Regarding pledges that are fulfilled...when a pledge is 100% paid, it will no longer be an "open" pledge and it will not show up in the "Payment on Pldge #" list found on the Donation Form. But, the pledge MUST be either 100% paid OR cancelled to be removed from this list. Does that make sense?
Hope this helps clarify further, but please keep us posted if you have more questiosn about this!
TGIF! :)
