Is there any way that a person could change the receipt and save it as a default receipt. I would like to add our Maternity Home's logo, and it wouldn't paste into the part that we could personalize. Thank you for your help!

Hi Farmom,

From within CenterPiece, you cannot edit the format of the receipt. The Batch Receipt is a template that will look the same everytime. Although, the one thing you can edit on the receipt itself is the "Letter" section. In this area you have the ability to add a custom message to your donors.

However, you CAN export your receipts to Microsoft Word and from there edit them in any way you'd like. You can add your logo to your receipts in Word also. If you do this in the "header" or "footer" of the page, it will automatically add the logo to every single receipt page you have run, so you won't have to edit each individual receipt if you're running a large batch of receipts.

I would like to use the Batch Letter for our Walk donation letters going out this week, but at the top it has the words "Dontation Receipt." We have been informed from the Bulk Mail department at the Post Office that any letters with the words "receipt" or "for your records" will no longer be eligible for bulk mail rates. Is there any way to remove the word "receipt" from this letter ASAP?

Hi Mdasher,

We were unaware of this rule for bulk mail. Is this something new? The only way to remove this "Receipt" wording would be by editing each individual receipt in Word, which would be time consuming. However, what might be a better solution is to create your own custom letter/receipt in CenterPiece using the exact wording that works for yrou center. With our letter writing functionality you are able to merge in names, addresses, donation amounts, etc. If you need more help with how to create your own letter in CenterPiece, just let us know!

The ruling was passed in 2005 but they are just now starting to enforce it. We had over 2000 letters printed and in envelopes and the Post Office said we would have to send it First Class instead of bulk because of the ruling. Today, we are in the process of reprinting all of the letters. I have documentation of this that the Post Office sent me if you need proof. The letter really needs to be changed since most Batch Mailings are also Bulk Mailings.

Word does have the ability to do a search and replace. When exporting to Word, you can use this feature to replace all occurances of "Receipt" with something like "Statement". Once we have a chance to review the USPS guideline, we will consider making a change to the report, but until then, "search and replace" in Word is your best option.

Along the lines of these questions... Can the Batch Receipt format be imported into Letter Creator section of the program? Then additional statement elements (like "Please review your contact information for accuracy" or "Please include email address in space provided" could be added to future Batch receipts (now we would use the new letter format instead of the default batch receipt).

Hi Sarahm!
I am not sure I follow your instructions when you say, "the one thing you can edit on the receipt itself is the "Letter" section. How is this done? If I select "Report" it apparently can not be edited before export. If I choose "Letter" I would need to create a new letter and it would not have the information on it that the "Report" has so I would recreate the "Report" and then add my elements. Is this correct? Or am I missing something?

Timeless,

You can include a customized letter section to any of your receipts. The batch receipt can be customized to include your statements, such as, "Please review your contact info...", as well as any special notices such as "Plan for our upcoming banquet" or "Thanks for partnering with us this year through our Walk for Life...".

All of this is done under the letter section and can be saved for future mailings. So, if you want a specific paragraph to be on every batch receipt, just save it as a "Budget Letter Master" or something to that effect and you have everything you need.

I guess I am dense... but I don't get it. Would you walk me through the process?

I see the batch reports and I see that you can create a letter, but how do you mix the two? If I use the batch report, I cannot edit it. If I go to to create a letter, I don't have all the fields of the batch report. If I copy and paste the batch report into a new letter, it will look the same and I can edit it, but I don't have the fields (only their resulting information).

So, would you walk me through the steps?

Timeless,

You are not dense! I can help walk you through the steps. After your first time doing it, it will come easier.

Here are the steps:

1) Run your batch receipts and view the report.
2) Choose a letter you have created in the "Select a Letter" drop down menu OR click the ellipsis box [...] and create a new one.
3) If you have created a new letter, make sure that you save it when you are finished.

Keep in mind that the letter you are adding to the batch receipt should be short, maybe 10-12 lines long. So a paragraph is a good length.

Then, you will see your text appear in the body of your receipt. You can always go back and adjust the letter by editing your existing letter.

I tried it and it inserted the text.

What was confusing me was that I was expecting a WYSIWYG editor. Is there any way to insert the text in the bottom portion that is returned with the next gift?

It would make more sense to have my "letter" portion there... especially if I was asking the donor to check their address or add a phone number.

Thanks for you help... and while I ask a lot of questions, it is because the program is being used a bunch. I have used some of the donor section to help remove some pressure from our Treasurer... we both appreciate the easy of use.

Thanks for the question. No, at this time you can't edit the bottom portion of the receipts, but I will be sure to add this to our future requests list. I think it's a great idea.

Just wondering if you are looking into what I mentioned earlier in the thread about changing the pre-made batch letters to say "Donation Statement" instead of "Donation Receipt." The U.S. Postal Service will no longer allow the word "receipt" on any bulk mailings. I know I can change it in Word, but it seems this could be a problem for other centers as well. Last year we had to re-print over 1000 Walk Letters because we used your form letter.

GREAT FEEDBACK!! I will pass this along to our development team, we will be looking into revamping our donor management the beginning of the year. A suggestion to fix this for now would be to export your statements to MS Word, click "Ctrl" and "F" at the same time, select the second option "Replace", type "Receipt", and "Statement", then select "Replace All" If I can be of further assistance, please let me know. Hello there! Good news, in our upcoming release batch receipts will reflect the changes you've requested. Receipts will now show "Donation Statement" opposed to donation receipt. Have a GREAT day!
