counting unique clients

| I know the one report counts clients only once per month, but how do I get the number of unique clients per year? |

Hi Rose,
Currently, we don't have a stat that counts unique client visits per YEAR. Is this something that your center would find helpful and would like to track? If so, we can look into the possibility of adding a stat like this in a future enhancement.
FYI...The closest thing we have to this is the "Clients Served Statistic" which counts unique client visits per MONTH.

Sarah,
It would be helpful, since a lot of grant requests ask specifically for families served or something of that sort for your yearly stats, not just number of appointments held. |

| There is no doubt that this particular feature was overlooked. We are accustomed to having such a number from our previous "Access System". There are too numerous needs for the individual counting number. We need it now. Please let us know when this feature will be added. We have had two major items we needed this for and had to do a guesstimate of the number instead of just looking it up in your database. Need it NOW! |

Thanks for your input. It is so very valuable to us. And we do completely agree that this statistic is needed in our system. I can't give you a specific timeframe on when this will be added, but it is on our list. We will keep you updated as we make progress on this. | I was just going to put in a request for this feature for the same reasons. I recently realized that I was going by the "new visits" number to get this figure, but that is not accurate since there are many return visit clients who can also be counted. It is very cumbersome to print off the name list and figure it out there, even more so for larger centers than ours. Thanks for working toward making this happen! |

We now have your billing for payment, but our CEO is holding it until she can contact the CEO of Ekyros to discuss this issue of counting clients once for yearly stats we need. We have funding requests and other data that must be reported to our board. It was believed that this counting of clients based quarterly and yearly was part of your original database as this was unique to our previous system. We added this system to our services based upon this number being a part of your database. Are other centers aware that your "clients served statistics" does not count individuals as a straight number instead of the number of visits even within the month. We are wondering how they are maintaining this count for their centers. Please reply.
Please let me know how we can resolve this issue. We have not heard of any additional updates and wish to know when we can see this feature added. We do have some other things to refer to you that are unique to our center, but right now the counting of individuals is a priority. Thanks.

Hi jcgamboa,
Yes, we are aware of the feature request. We were hoping to add the report in the March update of CenterPiece, unfortunately we ran out of time. The report is now at the top of our feature list and targeted for release in the April update (to be released towards the end of April).
In terms of the Clients Served stats, yes, most of our customers are aware of the way this report counts the clients served. This stat is also required for the client demographics in the Focus on the Family - Option Ultrasound Report, which is reported on a monthly basis.
Below is the description on the report:
Analyze the total number of unique clients visits per month. This report counts each client only once per month, regardless of the number of visits they may have made to the center during the month.
If you feel we can improve the description of the report to make it more clear, please provide an example. We'd be happy to update the report description.

Dear rosecondra,
As part of the latest CenterPiece update, we added a Unique Clients Served report. This report allows you to filter by date range, counting clients only 1 time. I hope that helps! |

| I'm working on my quarterly grant report and went to the Unique Clients Served report. I quickly got some numbers, but realized this does not break it down by reason for visit (pregnancy test, individual education, etc.) Is the "Category" supposed to do that? I don't have any options to choose in that drop down menu, only (ALL). Our grant is only for clients served in our Earn While You Learn program, so I need a way to break it down to that. I tried to drill down on the numbers on the report so I could count them that way, but that doesn't seem to be an option. Am I missing something, or does this need to be future feature request? |

Hi Karenboots,
there is no way to accurately categorize this report by "reason for visit" since the report only counts 1 visit per client and "reason for visit" is tracked on the case visit form.
the Category filter refers to the category on the client file. you must not have any categories defined. one option is to assign "Earn While You Learn" category to each file and then filter by that category.
if that sounds like too much work, we can add addtional filters, but we need to know exactly what you need. please be as detailed as possbile.

No we don't have categories assigned because I never figured out what needed to go there! Now I know! We can try that. It will be a little bit time consuming this time, but in the future, we can add that in the "category" right away when a file is opened.

| One more thing about counting unique clients. I would like to be able to drill down on that number and see who they were, but that feature isn't available in reports, I don't think. Is there another way to get to this information, or could this be included in the future? Thanks! |

Specific to the Unique Clients Served by Date Range, you can view the "drill down" or specific names of the clients. What you will do is once your report is pulled, along the upper left corner it says "View As: Report" this is a drop down. By clicking on the black arrow it will provide you additional viewing options, which is List. Once you select "View As: List" it will provide the specific names of who is included in that number.
