Donation and Pledge Letter Combinations

At our first Banquet we accepted Donations, Pledges, and first payments on Pledges all at the same time. Now we would like to send three different response letters to those that 1) just donated (90) vs. 2) those that both donated and pledged (20) vs. 3) those that just Pledged (10)..rather than sending two response letters: Donation & Pledge for the 20. What combination of Reports and types of Filters (Designations, Categories, Hold Mail, Other?) would you suggest we use to drive these three kinds of letters from your mail merge? Is it even possible?

It seems that the only way to get both pledge info and concurrent non-pledge donation information into the same letter would be to export a Donor Report Sheet and a Pledge Report sheet. Then manually put the data together with a code to indicate the "row type" And finally use that to drive mail - merge in Ms/Word. [I am assuming that MS/Word mail merge allows conditional (if - then ) logic and I would need to learn how to use it. ] Is any of this correct?

Hi Keithm,

This is a great question, and it can be tricky since you've got 3 groups of people and some of the data "overlaps." At my center we ran into this same scenario, and we used "Categories" (found at the bottom of the General tab) so we could easily generate reports for mailing labels/letters/and receipts. As we entered donations and pledges from our banquet, we also marked the donor file with a specific category ("donation only," "pledge only," "donation and pledge"). Then when running reports, we could get lists of donors that fit into each unique catgory. This is what I would suggest for you as well, since you want to send out a unique letter to each of these 3 groupings. If you need more explanation or detail on this just let me know.
