ADDING CHURCH TO OUR CLIENT'S CASE Posted: 06 Jun 2007 09:25 AM |
We have been having a problem recently. We used to be able to 'save' church information, but it is no longer being saved in our client's case. What are we doing wrong? Can you help? |

Hi Sharond,
Just to clarify, churches are not tracked on the Cases tab, but rather on the General tab of the client file. Here are the steps to adding a church into the system:
1. BEFORE you add a new church file, make sure to search and see if the church file already exists to prevent having duplicates. To do this, just type in the first 2 letters of the church name in the "Church" field (found on the General tab of the client file), and if the file already exists it will pull up. If it doesn't pull up, then click on the square box with the 3 dots in it, just to the right of the Church field.
2. A new, blank file window will pop-up, and you will type the name of the church into the "Organization" field, which will save this file as an org., rather than an actual person.
3. Once you've typed in the church name, just hit save & close, and then you will be able to immediately pull up the church name in the church field on the client's file.

I noticed that when you add a church to the list, it goes on the staff tab under volunteers. Is this where it will always be posted. Or am I doing something wrong. Also, what if the church is a donor also. Will the church be listed under both donor & staff.

Hi Kristi,
If you add a church into the *client* database, then it does *not* also get added to the staff database. Could you give me a step-by-step of how exactly you added this church into the database? I may not be correctly understanding what you asked in your question.
All client, donor, and staff files are completely separate. So, this means that if a church is a donor, the church will need a donor file--and if this same church is also where several of your volunteers are members, then you will also need to set this church up with a file in the staff database.
