memo line in Quickbooks Posted: 14 Mar 2008 10:26 AM |
When transferring payments to Quickbooks, the Quickbooks memo line defaults to "Batch # File #". Is there a way to change this to default to Centerpiece's Comment field for the payment? If not, can it default to the payment's Event field? I am manually changing them now but once our Banquet starts and we receive huge deposits and manually changing them would take a lot of extra time. I filter our reports by the Quickbooks memo line so this change would be quite helpful. |

Thanks so much for your feedback. Currently, you are not able to change the way the memo line will post in QuickBooks. The purpose behind this memo line is for you to be able to identify where this info came from in CenterPiece. However, this is something that our team will take a look at for a future enhancement, but implementing a change like this may be down the road a bit.

Could it be possible then to keep your default line but also include the Comment field before the on the same line? (Example: Comment Batch#File#) That way users can still identify where it came from but also not have to re-enter things into Quickbooks since this is very time consuming. |

Please note that whatever you type into the "comment" field on the Donation Form will also show up on your donation receipts. Because of this reason, I'm not sure that this would be a good thing to also include in the memo line in QuickBooks. What are your thoughts on this?
Most centers use this comment field to track something specific that they want the donor to see on their receipt....like "in Honor of the Miller Family" or "real estate donation," etc. I hope that helps clarify.

The problem is I need to run reports in Quickbooks that use the memo line. When I run Board reports for Banquet Income in Quickbooks I need to see how much was given toward 2007 pledges and how much was given toward 2008 pledges. So when I enter the donations in Quickbooks, I put "2007 pledge" or "2008 pledge" in the memo line.
I understand you need to keep the Batch # File # in there, but can you also add the eKyros memo line before or after that so I do not have to manually go thru each donation in Quickbooks and change it? |

Hi Mdasher,
If you are wanting data like "2007 pledge" to be posted into Quickbooks, currently the best way to track this is through the "Campaign Designation" field found on both the Donation and Pledge forms in CenterPiece. This field can be mapped to what is called an "Item" in QuickBooks, which you can use to generate reports. For complete instructions on how to set up these mappings, please visit the "Help" tab in CenterPiece and in the left pane click on Donor Management/QuickBooks Integration/Settings & Configurations.
By using "campaign designations" & "Items" to track specific income, this should provide you much more precise tracking than the memo field can. If you have any more questions on how this works, please let me know.

I know already about the Campaign Desingations. I have one for "Banquet." I was really trying to avoid having a "Campaign Designation" for each year. This would end up in us having quite a long list of Campaign Designations since I would have to have two for each year (Banquet & Walk For Life). I appreciate all your help in this matter. |

Maybe instead of adding the comment line to the memo could the "Event" be added to the memo? That would fix my problem just as well. |
