Using The Calendar

Good Morning! I am wondering how we can utilize the calendar for other things besides appointments and events, etc. We would like to put our deadlines for certain things on the ekyros calendar for reminding and currently if you aren't assigning calendar stuff to a client you have to set up appointments and such. So instead of creating a new event, or an appointment, is there a way to use that calendar for specific dates to remind us of some deadline. Announcements I don't think works either for us on this.

Hi Cindy,

Thanks for this feedback. The calendar currently only pulls from 3 sources: 1) the client appointment book, 2) group classes, and 3) donor events. So, there's not really a way to track your to-do list on the calendar at this time, but this is possibly something we could look at adding in a future enhancement. We'd love to hear more feedback on what exactly you'd like to see in a calendar enhancement like this.

Sara,

Thank you for your quick response to my question! We have specific events, deadlines, gatherings and classes to each group. For instance, an office calendar when you click on Office would need to show who's on staff that day, on-call and what volunteers are working that day. Donors calendar would show fundraising events, follow-up phone call deadlines and thank you notes for any month that was written and last the client calendar would show appointments, EWYL, etc. So I guess what I'm saying is each one when you click on their tab, clients, donors and office, would have their own specific link to their specific calendar. Does this make sense to you. That way we could eliminate the abundance of calendars in our office and rely on one central place to see what is scheduled for a particular day or week. Thanks for listening! I hope this all sounds reasonable and doable, LOL!

This is very interesting feedback! Thank you so much for taking the time to send us your great ideas. We will take this all into consideration. There are a few other enhancements taking priority right now, but we'll certainly take a look at the possibility of adding this to a future enhancement. Thanks again for your time!!

hi Cindy I notice you ask about how to post who is on shift each day. We are doing that on the appointment book under the notes tab. on the far right side. behind the office hours tab. we just write in our shift workers and the hours they will be here right there and post it a month out that way. it is editable if you have changes. We do that when we review what rooms to open for the week so we have get appointments made in the right ratio to staff working. At our center we use the notes section to post schedules and meetings and our staff hours.

I would love to be able to add stuff to the calendar too...like if our director has a meeting that day or a board meeting is happening that day. Even staff and volunteer birthdays would be great to have on there.

Our team has already been discussing the possibility of making an enhancement to the office calendar very similar to what you are in need of. We'll keep you posted with any updates on this.Smiley

In reference to a possible donor calendar, are you familar with NIFLA's Donor-A-Day program? Basically, a donor would take on the finacial responsibility of supporting the Center for a day. They would then sign up to "pay" for their day by monthly EFT. They would then select the day of the year they would like to pay for and the day is set aside in their name. They would have opportunity to indentify why they choose that day (Birth of a child, anniversay, etc.). It would be wonderful to have an active calendar that would identify the donor and their day (and be able to use that calendar to "drill down into the records" to see their giving. We are currently using a large printed spreadsheet with names on it, But of course there is no link to the records.

We ran into these same issues at our center as well. I have addressed it by using the calendar features in Microsoft Outlook. I have found most people have Outlook because they are also using Word and Excel for report downloads. In Outlook you can make multiple calendars and choose which one you would like to see on the left side of the screen. I have made a calendar for Volunteer schedules and also for our Group Classes just so the receptionist can see what group is meeting when in a calendar format. You can even have multiple calendars open to see both the volunteer and group class calendar at the same time. I just keep Outlook open in the background and click on it in the taskbar to bring it up quickly when I need it for reference.

I considered using the "Notes" feature on the appointment book, but found it redundant to have to fill in every single day and not be able to see the whole month. I thought of the calendar feature because when I'm rescheduling a client I wanted to be able to see when their counselor was working next to be able to keep them with the same person. The "Notes" feature didn't work for this because it doesn't display anything in a calendar format.

This method has also worked well for booking our resources for group classes. I frown on putting the class in the appointment book like it's a client because it skews the appointment book statistics in the reporting features. Outlook allows you to list much information right on the calendar where you can easily see it. It even has a "Location" field that will display as well - this is where I put the room the class is being held in.

Obviously, it would be great to not have to run to a different program for all this. My suggestion to the eKyros staff is to use Outlook as your model and give us the ability to call up more than one calendar/appointment book. Perhaps the optional calendars could be listed as tabs across the top of the appointment book so we can switch to view these calendars for reference?

I Concur with what Kelly has said. It would also be nice to have a calender that each authorized could access to put in their own schedule.
