Primary Reason/Purpose for Visit
Posted: 10 Oct 2006 07:11 PM
Please confirm...

We did 16 sonograms in September, but the Focus report shows we had only 6 Ultrasound Appointments as primary purpose for visit. Is this because the client came in just for ultrasound on that day and had her pregnancy test on an earlier date? Which would mean the other 10 sonograms we did were counted under Pregnancy Test as primary purpose for visit because she had her pregnancy test and ultrasound on the same day? Ummm, if this seems odd because you would think Focus would want to know the total number of sonograms we did for the month.

The primary purpose of visit is pulled from the "Case Visit" form. It is a selectable option your staff specifies when entering the form. You can edit/view each case visit under the "Cases" tab on each client file. The visits are location to the right of the case form. Click on a date under the "visit" tab and it will open the form.

Follow the steps below to review all the visits for a particular month:

1) Run the "Client Visit" statistics
2) Select the "Primary Purpose" measure in column2.
3) Click "run report".
4) In the results, on the "Total PrimaryPurpose" row, click on a number under the month in question.
5) This will "drill-down" and show you all the client files the visits for the month are associated to.
6) The second column in the grid is the date of visit. You can click on the Client file link to open the file from the report and change the primary purpose if it appears incorrect by clicking the visit date under the case tab.
7) click the browsers back button a couple time to return back to the report and repeat steps 5-7.

Hope that helps.

More clarification, please...

I don't think I need to "correct" anything (your number 6) unless you're saying I should make the sonogram the primary reason for the visit rather than the pregnancy test.

Isn't there only one primary reason/purpose for the visit if several things are done on one day?

If the pregnancy test (done first) and ultrasound (follows pregnancy test) are done on the same day, isn't the primary reason/purpose for visit "pregnancy test" because it is the first thing done? And does this mean Focus doesn't get a total of all the sonograms done (16 total sonograms, but 10 were done on the same day as the pregnancy test)?

Am I still confused?

Hi Lynda,

Please see my comments in ALL CAPS below:

Q: Isn't there only one primary reason/purpose for the visit if several things are done on one day?

A: YOU ARE CORRECT

Q: If the pregnancy test (done first) and ultrasound (follows pregnancy test) are done on the same day, isn't the primary reason/purpose for visit "pregnancy test" because it is the first thing done?

A: IT'S MY UNDERSTANDING FOCUS IS TRYING TO DETERMINE WHAT THE PRIMARY SERVICE IS THAT BROUGHT THE CLIENT TO YOUR CENTER. IT REALLY DOESN'T MATTER WHAT SERVICE WAS PROVIDED FIRST. IF THE CLIENT'S INTENT WAS FOR A PREGANCY TEST, THEN YES PRIMARY PURPOSE = PREGNANCY TEST. HOWEVER, IF THE CLIENT'S INITIALT INTENT IS TO GET COUNSELING/SUPPORT (CONCEPTS SHARED) AND ENDS UP GETTING A PREGNANCY TEST DURING THE SAME VISIT, CONCEPTS SHARED = PRIMARY PURPOSE.

Q: And does this mean Focus doesn't get a total of all the sonograms done (16 total sonograms, but 10 were done on the same day as the pregnancy test)?

ALL SONOGRAMS GIVEN FOR THE MONTH ARE COUNTED IN QUESTIONS 18-20. HOWEVER (PER FOCUS) THE CLIENTS WHO RECEIVED BOTH PREGNANCY TESTS AND SONOGRAMS ARE ONLY COUNTED ONCE IN Q22 AND 23 AS ULTRASOUND.

What if your primary reason is not on the list but still needs to be tracked? We offer STD testing and we need to be able to track how many clients are coming in with STD testing as their main purpose. Is there a way to add a primary reason or purpose? Thanks!

Another thought about primary reason...We can't edit that list by ourself, but we get clients who come in as a family member or boyfriend of someone who is pregnant. We often have these clients seeing their own volunteer counselor- but there isn't a choice in that list that really works for these clients. There are also clients who come in specifically for post-abortion support, and there's no primary reason for visit that really lines up with that.

let me know what you can do! :)

Hi Munchkin,

This list of options for "Primary Purpose for Visit" directly corresponds with an important question on the Option Ultrasound report. In order to match the options provided on the Option Ultrasound report as closely as possible (to provide accurate reporting), the system doesn't allow you to edit this list on your end.

For the time being, you can mark your post-abortion support visits and also your family member visits as "concepts shared" (since these clients are coming in for some type of lay counseling). Our team will discuss your feature requests, though, and see what we can do. Thanks for your feedback!

Thanks Sarah-

I didn't even think of that since, as of yet, we don't have any medical centres in Canada. We have started using concepts shared for those kinds of things, so I guess we will continue. Thanks!
