Editing lists

All of our lists that we can edit have items that we so not want as a choice. I understand that they would have to be removed from every file to be deleted. I am wondering if it would be possible for those items to be made inactive and not be a choice the same way volunteers can be made inactive. The issue is created, because anyone ca add to the list and that includes volunteers. Another request that I believe we may have already shared is the possibliltiy of only administators being able to edit the lists. I look forward to hearing your thoughts on this and thank you for your consideration.

Thanks for your great feedback! Our team will discuss all of your feature requests and look at the possibilty of adding them in a future enhancement.

In the meantime, did you know that you can run certain statistics, and use the drill down feature to determine which files are referencing the list items that you'd like to delete? For example, if there is an item on your "Concepts Shared" list that you'd like to delete, then you can run the "Concepts Shared Statistic" and select the measure of "Concept Type." Then, drill down on the stat for the specific concept that you are wanting to delete, to find out which files are referencing it. You can then access the files directly from this page to remove this specific concept from their files.

Hi Sarah- I love the editing lists feature, and have figured out how to drill down on stats to eliminate certain options. However, I've tried to delete one option from our ConceptsShared list, and it keeps telling me that the option is referenced by another form. When I run the ConceptsShared statistics by type, that option does not show up anywhere. I want to delete it, but can't figure out where it's actually being used.

Sorry...one more question while I'm on the the topic of lists. We can edit the list of Audio, Video, and Literature shared in the concepts shared form...but when we try to pull the udio, Video, and Literature Statistics, we can't get any details about what kind of literature, for example, was actually shared. We have Bibles on that list, but when we try to pull a report to see how many Bibles we have given out, there is no way to get that specific.
Can you help?

Hi Munchkin,

Interesting. Try running the same stat, but select a previous year on the stat set-up page. It's possible that this concept was shared in a previous year.

Hello again!

You can currently get this statistical information. You'll need to use the measure of "Title" to get this detailed data. Here's what steps I would use to get a clear look at this info:

Using the "Audio, Video, and Literature" Statistic, select the measures of:
Column 2--"Type"
Column 3--"Title"

This will give you a clear look at how many Bibles you gave out as "Literature."

Thanks so much for your replies. You were right with my first question (I had to check back at previous years to delete the particular 'concept shared'.
We are really enjoying getting to know this program more and more. :)
