Appointment/Client Count

Do all appointments, or just those marked as show, count towards our total client count for program cost purposes? I would like to start using the Appointment Book but don't want no shows to push us into another cost category. Is that even a valid concern? Thanks for your help.

Hi Christi,

Just to clarify, our pricing tiers are based on the number of total files you have in the system (including clients, donors, and staff), NOT on the number of appointment forms or activity forms that you have entered. For example, 1 client file would include EVERYTHING about that client (all appointments, cases, visits, notes, etc).

When you book an appointment, you must assign a client file to that appointment. This means that even clients that are "no shows" will have a client file in the database, which will increase your total file count. You always have the option of deleting these files of the clients that "no show." You can quickly determine who these clients are by running the Appointment Statistic and using the measure of "Status." Once you've got this stat run, then you'll just need to "drill down" by clicking on the month's statistic you need to edit. This will bring up a list of names of clients that no-showed that month.

However, something to seriously think about is that when you delete a client file, you are deleting all history for that client, as well as the ability to view stats for this client. This means that you will not be able to run stats to compare your past show/no show rates with current ones. Many centers have opted NOT to delete these no-show appointments for this reason, and also, to have this history for clients that are "repeat no-shows."
