Due date follow ups

Hello! I'm fairly new to eKyros and have a "follow up" question. I'm trying to run reports for each counselor on the clients with due dates in each month so that they can follow up. It looks to me like this is best done with the Pregnancy Test Follow Up report. My question is how can I query out closed/inactive files while running this report? If files are closed because we are unable to contact the client or they have moved out of the area, an outcome is listed. Am I making sense? Please help! Thank you!

Hi Christi,

Great question. With these clients that become inactive because you lose contact, or they move, etc., it's probably a good idea to go ahead and set their pregnancy outcome to "unknown." This is done on the Pregnancy History tab of the client file by clicking on the "set outcome" link at the bottom of the page.

If you do this, then when running the "Pregnancy Test Follow-up Report" you can use the "Outcome" filter and select "Outcome Does Not Exist" to filter out these clients that shouldn't be contacted. Hope that helps, but please let us know if you have any more questions.

One other option is to create your own custom follow-ups using the "Edit Follow-up" button in each client file. This button is found at the top of the file, right next to the File Summary Report. With this feature, you have control to flag any client for follow-up, for any reason. You can also set the date that you want to follow-up with them and assign a specific staff/volunteer to do the task. To manage all of these follow-ups you can use the "Client Follow-up Report."

Great! That's easy enough. Now is there a way to run a report on all the closed files I entered yesterday so I can fix change that? Thanks for your help!

How did you close these files? If you marked them "inactive" on the General Tab (bottom right side of this tab), then you can run the "Client Files Report" and use the filter of "Status" to view all of your inactive files. If you set the Case status to "closed" (on the Case form), there is not currently a report filter to look specifically at closed cases. If this is the case, maybe you could try running the same report you ran yesterday (Pregnancy Test Follow-up), using the same filters, which should bring up the files that you edited yesterday. Hopefully, that will help. :o)

Sarah - thanks so much for your help! You've told me exactly what I needed to know. I just hit another obstacle though. I set a pregnancy test outcome to unknown because we could not get a hold of her for quite sometime. Then she finally called back to say she had a baby girl. How can I change that outcome?
