I think it would be very helpful if when a case was closed the inactive box would automantically be checked as well so that if we want to only look at truely active client files we could use this to get to them!
also on that same note now as soon as a file is created it is automatically make active. well a lot of these are made from appointments that never materialize and do not acutally become case files so it would be better if the active box didn't become checked until the case is fomed when the person shows for an apointment and the file is opened! thanks Gail

HI Sarah,
I am loving Ekyros more every day. The bigest change I am seeing recently at our center is how much our follow up with clients has inproved threw the pregnancy! this is wonderful we are using the followup flags and finding them a huge help . thanks for all you do !
sorry I have been delayed in my reply. I just started teaching a set of childbirth classes and praise God we have 18 girls attending. Thus I have been rather busy lol.
about the inactive check box. we would like to be able to use this as a quick and easy way to see which client files we are currently still seeing - ie have an active pregnancy .
this would be a great and easy way to do chart reviews of current clients to help us to check up on our vollenteer staff. and to be sure we are trying to continue contact to those that are vulnerable to abortion. I right now have to go threw our paper charts to do this but sense we are not imputting much in the paper chart anymore it means alot of back and forth from the computer . I think unless it is an active pregnancy the active box should not be checked. ( so when a case is closed with a pregnancy outcome the box should go un checked) but because right now that box is always checked even for no show apointments it is not possible to use it as our filter. what do people use this for now? in client files. I can see where its use would be diffrent for the doner side. thanks for your help. Gail

Hi Gail,

Your sweet words are SUCH an encouragement to us here at eKYROS.com! I am so glad our follow-up system has helped your center, as I know these follow-ups are a very big part of your ministry to clients! I know I speak for all of our staff when I say that it is truly an honor and blessing for us to serve your center. :o)

After reading you notes, I have a few ideas that might help you keep track of your clients:

1. A wonderful report to use is the "Pregnancy Test Follow-up Report." This report has many filters that will allow you to look at a specific grouping of positive pregnancy test clients. For example, you mentioned that you needed to know which clients were abortion vulnerable. To quickly get a list of girls who had positive tests THIS month that are abortion vulnerable, use the "Test Date" filter and the "Pregnancy Intentions After" filter.

This same report might also be very helpful for reviewing files of clients who have an active pregnancy.

2. Another option would be to continue to use the active checkbox, by manually checking/unchecking this box and saving your changes. You can then use the "Client Files" report to quickly get a list of all your "active" files by using the "status" filter found in this report.

We are using the active/inactive check box to let us know which clients are still in need of follow up. However, I'd like to know how we can find out which clients are active, sorted by who their volunteer counselor is.

There is a statistics report we can run which gives us the break down of initial visits by staff/volunteer...but it will become very cumbersome if it is always including all client files, including those that are no longer requiring follow up.

Hi Munchkin,
The report you can run to get lists of Active/Inactive clients is the Client Files Report using the "Status" filter. However, this report does not have a volunteer/staff filter, because it is pulling from ALL client files (volunteer names are assigned to specific cases and activities).

A report that might be helpful to you is the Pregnancy Test Follow-up Report. This report allows you to run various lists of positive pregnancy test clients using a variety of different filters. Depending on what your center considers an "active" client, you can select the filters that apply, and run these lists for specific volunteers. Hi Sarah,

Lets see...
We basically consider every client we see to be in need of follow-up (even if it happens to be a negative test, we would still expect our volunteers to follow up at least once with a phone call). Follow up continues with any client until that client expresses the desire to discontinue support, or cannot be contacted. As long as follow up is happening, the file is open and we consider that client "ACTIVE". When follow-up ceases, the file gets closed, and we consider the client "InActive".

So, the pregnancy test follow up report would be helpful, except that we cannot filter out clients that are inactive. We want to be able to print a list for each volunteer showing them which of their clients are still active (and thus needing follow-up). One other problem is that this report will not give us info on clients that need follow up but did not have a pregnancy test form (male clients, or relatives of clients who are also receiving support- although those clients are relatively rare).

So the client files report would be the best option if it could sort by volunteer/staff person.

Otherwise, the pregnancy test follow up report would be helpful, if only we could sort by active/inactive status.

HI munskin,
gail from grapevine here.We have found that that inactive box just will not help much either!. to look at what each care giver is following up you can use the flag system in each chart to generate notes to yourself on your office page. and then you can also check this to see if they are getting done in the reports section. because every file that is created is automatically seen as active and that includes no shows the inactive box is just to much work to keep current we have found. I'm sure Sarah can explain this better. we are really loving the follow up flags now!! thanks gail

Hi Gail and Munchkin,

You took the words out of my mouth, Gail! This is exactly what I was going to suggest. CenterPiece provides a great system for you to track all your follow-ups with clients, donors, or staff/volunteers. Every file has an "Edit Follow-up" button (look at the top of the file), that will allow you to flag ANY client for ANY reason. When setting up your follow-up you can set a date that you want the follow-up completed, assign it to any of your staff, and also give a comment for why you want to follow-up. Many centers train their data entry personnel to flag the appropriate clients during the initial data entry that is done for each client.

Once you have flagged the appropriate clients you can run the "Client Follow-Up Report." From this report you can get very specific lists for your specific volunteers. Many centers will just run this report and print it out for each volunteer at the beginning of their shift every week. Some centers have even trained their volunteers to run the report themselves.

When a follow-up is completed, simply click the "Flag Complete" button on the follow-up form to track that this follow-up is finished.

This method is going to be the easiest and clearest way for you to track all your follow-ups. I hope this will help!!
