What is the best way to enter donors into ekyros who donate through United Way. Right now the donation is entered under the organization. Just today we have started entering the donors in ekyros just not assigning a donation amount because we don't want to receipt them, they get a receipt from United Way. However, we do want to acknowledge them and send thank you letters.

Hi Carla,
Very good question. I'm so sorry for our late reply. I think there are 2 ways to do this, but it's important to choose 1 way and be consistent with all United Way donations.

1) You can enter all of these donations in the United Way donor/organization file, and in the comments field (on the donation form) track the name of the donor that gave this money. If you choose this option, then it's a great idea to also set up a donor file for each individual donor that is giving through the United Way. In this donor file you can just fill out the General tab, which will track all of their contact info. This way you can add them to your mailing lists for newsletters, thank-you's, banquet invites, etc. A person does NOT have to have any donations entered in their file to have a donor file. You might also want to set up a "category" (you will find this at the very bottom of the General Tab in each file) called something like "United Way Donor." By doing this, you'll be able to get lists of all your donors who give in this manner.

Or, 2) you could choose to enter these donations in the actual donor's file but NOT send a receipt to them (as the receipt does not have to be sent to all donors).

It sounds like your center has been going with option 1 for tracking these donations, which is perfectly fine if it's working for your needs. With either one of these options, I think it's VERY important to set-up an "event" called something like "united way giving" and assign it to the appropriate donations, so that you'll be able to track all donation totals that are being received.
