Walk Event Tracking

Our center has never used the event tracking system for a WALK.
I was told how to use the events page for that but ran into a couple questions

1. I know you enter "walker 1" under Group and walker's name from the database "Jane Doe" for Group Captain. However when you are trying to match sponsors and walkers (under the sponsors tab) from the data base it looks like the only way to search for a Walker is by their number (walker 1, walker 2 etc) or to scroll down through the list. Is there a way to search for a walker by their name instead of their number?

2. We want to be able to send the walker's sponsors reciepts but to hold our mailings from them until we find out if they Want to be on the mailing list. Is there a way to designate that?
If I put their mail status on "Hold" will their reciepts still show up in need to be printed catagory?

3. How do we show if a sponsor has paid already so that we do not bill them twice?

4. Do we create our own letter for billing or is there one already available in ekyros system?

Hi Andrea,

Great questions. Here are some answers....

1. After you have set up your Walkers (under the "groups" tabs) and you're ready to add their sponsors, you will be forced to select the "Group" that the sponsor belongs to. In this list of "Groups" you will see all the Walkers that you have already set-up, including the actual name of the walkers. It will look like this "Walker 1 (Sarah Miller)" so you can know who your actual walkers are without any confusion. Hope that helps.

2. When sending your pledge billing out you do NOT have to use the "hold mail" filter. So in other words, whether or not you have checked the "hold mail" box, a sponsor will be included in the "Pledge Statements Report." So, with your initial billing it won't matter whether or not this box is checked. It will matter later when you're sending out your next newsletter or mass mailing and you want to exclude all your "hold mail" donors from that mailing list.

3. When you receive a sponsor's payment, you will track this by entering a donation form into their file (you can actually do this from the shortcuts provided in the events tab also, found under the Sponsors tab). On this donation form you'll want to be sure to connect the donation with the pledge that you have already entered by selecting the correct pledge. This is done at the bottom of the donation form in the "pledge" section.

4. We have provided you with a Pledge Statement that is already formatted and ready to go. Hopefully this will save you a lot of time! To access this go to donor management/reports and click on the "Pledge Statements" report. Once there, you'll want to use the filters to get the correct info and then click "Run Report." This will bring up a list report. At the top left of your screen there will be a drop down list that says, "View As" and you'll want to select "Report" which is the 2nd option. This will take you to the Pledge Statement that is formatted and ready to go. You can also add your own custom letter to the statement.

I'm still have not figured out how to search by a WALKER's name instead of their number. Is there a way to type in "Jane DOE" and have it pop up? Or do you HAVE to type in the WALKER's number I.e "Walker 2".

It would make it easier when looking up walkers to be able to search by name instead of by walker number.

Hi Andrea,

I'm not sure what tab you are referring to....I'm guessing the "sponsors" tab, right? At what point in your data entry are you having trouble? We'd love to have a bit more info. We do plan to make some changes to this to make it easier to enter all your walk data and would love your feedback.

One idea to try that we recently used at my center....when we were adding all of our many sponsors to the sponsors tab, we ran the report called "Event Group Listing" and then sorted that report by the "Last Name" (just click on the heading "Last Name"). We printed that list out so that when we were trying to figure out what a specific walker's "Group Name" was we just had to find them in the alphabetical list and look to see what their "Group Name" (walker name) was. This helped us a lot.
