My center keeps statistics on whether pregnancy tests are initial tests or retests. Is there any way to add a flag to indicate whether a test is initial or retest?

Hi lknox,
Thanks for your feedback. Yes, we can add a "retest" checkbox to the pregnancy test form under the Office Use Only section. We will also add a new measure to the pregnancy test statistics so you can report/view totals by "retest".
This enhancement will be included in the next CenterPiece update. As of now, we are still trying to determine the feature list, so we don't have a release date....but it shouldn't be more than a couple weeks away.

Hi lknox,
I have one question. Can we assume that the first pregnancy test given to a client is always the initial test, and any other tests after that are retests? if we can, then the system can automatically determine the type of test and we won't need to add a retest flag to the data entry form. Please advise. Thanks! |

Let me explain our personal dilemma...
We have client files for 13 years...the system they started with is not very good, but it's the one we have. We have a system where a client receives a new intake number with each pregnancy test. If a client has been in 7 times over the past five years, then she has 7 intake numbers and 7 intake forms in her 1 folder. I learned of this when I tried to sample our client files for a project in grad school...you can't obtain an accurate sample using our system. But it's the system they designed and I probably wouldn't have had the foresight to do any better.
SO, with all that said, I'm still trying to figure out how we will use the ekyros system to track these women. I would love to change our system, but after 6000 intakes (6000 pregnancy tests), I don't see that happening. So, if a woman came in several times to our center, we would call her a "new client" each time she had a pregnancy test. If she comes for a retest, that is not considered a new client, rather she is still under the previous intake number. SO...because of this system, we track retests separately.
Please let me know if you have any suggestions for how to use ekyros with our limitations. I'm going to start playing with it so that i can figure our our system before the beginning of the year...

I don't think your as bad off as you may think.
Here's why: (this is kind of long, so bear with me.)
Carlye and I had a very productive meeting today with Kristen Hansen at CareNet regarding the annual statistics they collect for affiliation renewal. Part of the discussion had to due with the definition of a "new client case". This may also apply to pregnancy retests.
Here is CareNet's definition:

The definition of a "new client case:" a situation involving any client who has never been to the center or a return client with a new possible pregnancy related concern (new pregnancy, post abortion, abstinence). If this is not how you currently define a new client case, please indicate this on the statistical form. A partner, or other support person, is considered a new client once you have completed a new intake form.

Currently CenterPiece does not allow you to enter multiple intake (Initial Visit) forms under the Activity list of a client file. However, based on CareNet's definition above, we probably need to allow this. Today, CenterPiece also only counts the services provided on the earliest Date of Vist as "new client cases". It appears we need to change this also.
So how does this relate to Pregnancy retests?
If CenterPiece allows you to enter multiple Intake forms, and if you enter an intake form with the same "Date of Visit" as the pregnancy test form, CenterPiece will count the pregnancy test as an initial test. It will also count the pregnancy test and any other services/forms provided/entered on that date as a "new client case". However, if you only enter a pregnancy test with no corresponding Intake form on the "Date of Visit", CenterPiece will count that test as a "retest". It will also count any other services provided on that date as a "return client case".
Date of Visit versus Intake number
So instead of tracking by Intake number (similar to your old system), CenterPiece tracks services by date -- "Date of Visit". In your scenario above, if a client has been in 7 times over the past five years and received 7 pregnancy tests, then in CenterPiece if you would like to count them all as "initial tests", you can add 7 intake forms along with the 7 pregnancy tests, where the date of each intake form corresponds to the date the pregnancy test was given. If 2 of the 7 tests were retests, then you would not enter an intake form for the 2 tests and the 2 tests would also be counted as "return client cases".

That's awesome--I'm so glad that you guys are getting hooked up with carenet and so glad that's we're getting hooked up with you.

The changes i mentioned in the earlier post will be included in the next release of CenterPiece which should be available within the next few weeks.
